Full Job Description

Job Overview
We are seeking a highly organized and detail-oriented Office Secretary/ Administrator to join our team. The ideal candidate will possess strong communication skills and a customer-focused mindset, ensuring that all office operations run smoothly. This role requires proficiency in various administrative tasks, including data entry, the ability to use a CRM, pleasant phone skills, office management, and customer support. The Office Secretary will serve as the first point of contact for clients and visitors, making a positive impression while efficiently managing front desk responsibilities.

Duties

Manage front desk operations, greeting visitors and directing them appropriately
Ability to be trained on roofing systems to properly identify them with potential customers
Provide exceptional customer service and support to clients and team members
Perform data entry tasks accurately and efficiently
Maintain organized filing systems for documents and records
Assist with office management duties, including inventory control and supply ordering
Utilize JobNimbus and Microsoft Suite for document creation, scheduling, and communication
Proofread documents to ensure accuracy and professionalism
Support team members with various administrative tasks as needed
Serve as a personal assistant to executives or managers when required

Requirements

Proven experience in an office environment or similar role
Strong computer literacy with proficiency in Microsoft Office and familiarity with CRMs
Excellent proofreading skills with attention to detail
Exceptional customer service skills with the ability to handle inquiries professionally
Experience in data entry and maintaining accurate records
Familiarity with office management practices is preferred
Ability to multitask effectively in a fast-paced environment
Strong organizational skills with the capability to prioritize tasks efficiently
Willingness to ask questions and learn
