Position Summary
Accelerate Brevard seeks a highly organized, detail-oriented, and service-driven Events Coordinator to lead the planning, coordination, and execution of the Chamber's signature events, programs, and member experiences.
This position serves as the operational leader responsible for delivering exceptional events that strengthen investor engagement, elevate the Accelerate Brevard brand, and support the organization's mission to accelerate business growth, innovation, and collaboration across Florida's Space Coast.
The Events Coordinator will oversee the Chamber's annual event portfolio, manage event logistics from concept through completion, coordinate sponsorship fulfillment, and work closely with the President & CEO, Director of Marketing & Communications, staff, volunteers, committees, and vendors to ensure every event is executed with excellence.
Strategic Event & Program Leadership
Lead the planning and execution of Accelerate Brevard's annual programming and event calendar.
Responsibilities include:
· Plan and execute the Chamber's signature events, program series, and investor experiences
· Develop comprehensive event timelines and project plans
· Coordinate all event logistics including venue selection, catering, audiovisual needs, room layouts, registration flow, signage, décor, and event production
· Develop and manage event budgets, timelines, and operational checklists
· Lead internal planning meetings and ensure departmental accountability for event deadlines
· Coordinate speaker logistics, VIP experiences, volunteer assignments, and day-of-event operations
· Work with advisory councils and committees supporting Chamber programming
· Identify opportunities to improve event quality, attendance, sponsorship value, and overall investor experience

Event Operations & Logistics
Serve as the organization's project manager for all Chamber events.
Responsibilities include:
· Maintain master event planning calendars
· Coordinate venue contracts and vendor relationships
· Manage event registration platforms and attendee communications
· Coordinate event setup, breakdown, and on-site logistics
· Develop event scripts, timelines, seating charts, and run-of-show documents
· Ensure all permits, insurance requirements, and operational details are completed
· Maintain event inventory, supplies, signage, and equipment
Sponsorship Fulfillment & Investor Experience
Ensure all sponsor benefits and investor recognition are delivered with excellence.
Responsibilities include:
· Coordinate sponsor recognition before, during, and after events
· Manage sponsor signage, logos, reserved seating, speaking opportunities, and promotional materials
· Work closely with Investor Development staff to ensure sponsor expectations are exceeded
· Enhance VIP and investor experiences throughout Chamber programming
Budget & Vendor Management
Provide sound financial oversight for all assigned events.
Responsibilities include:
· Develop and monitor event budgets
· Track expenses and financial performance
· Negotiate vendor pricing and contracts
· Coordinate catering, rentals, audiovisual services, entertainment, photography, and production vendors
· Complete post-event financial reconciliation and reporting
Internal Collaboration
Work collaboratively across all departments to ensure seamless execution of Chamber initiatives.
Responsibilities include:
· Coordinate closely with the Director of Marketing & Communications to support event promotion and registration campaigns
· Provide marketing with event timelines, speaker information, sponsor updates, and promotional deadlines
· Partner with Investor Development on sponsorship fulfillment
· Support committee chairs and volunteers in event planning efforts
· Participate in organizational planning meetings and strategic initiatives
Event Evaluation & Continuous Improvement
Evaluate the effectiveness of Chamber events and recommend improvements.
Responsibilities include:
· Conduct post-event evaluations
· Analyze attendance, sponsorship performance, revenues, expenses, and participant feedback
· Prepare post-event reports and recommendations
· Continuously improve planning systems, processes, and attendee experiences
Qualifications
Preferred qualifications include:
· Bachelor's degree or equivalent experience in event management, hospitality, business administration, nonprofit management, communications, or a related field
· 3–5 years of progressively responsible event management experience
· Experience managing large-scale events, sponsorships, and vendor relationships
· Strong organizational and project management skills
· Experience managing budgets and multiple projects simultaneously
· Familiarity with CRM and event management platforms such as GrowthZone or similar software preferred
