Full Job Description

Overview

We are seeking an experienced, highly organized Office & Operations Coordinator to join our growing septic and sitework company. This is a key position responsible for managing daily office operations, supporting field personnel, coordinating customer communications, maintaining accurate records in QuickBooks, and helping ensure our projects run efficiently. The ideal candidate is proficient with Apple (Mac) computers, experienced with QuickBooks, and thrives in a fast-paced environment. Knowledge of the septic, sitework, excavation, or construction industry is highly desirable.

Responsibilities

Manage office operations
Maintain accurate data entry records using Microsoft Office applications and QuickBooks accounting software
Operate multi-line phone systems including AI, handle incoming calls, and provide prompt, friendly customer service
Oversee office management duties including filing, organizing documents, and ensuring supplies are stocked
Handle bookkeeping tasks such as invoicing, expense tracking, payroll and reconciling financial records
Handle daily scheduling and dispatching
Support client communication through phone, email, and in-person interactions while maintaining confidentiality of sensitive information
Coordinate appointments, meetings, and schedules for staff members or executives as needed
Assist with clerical tasks such as proofreading documents, managing correspondence, and performing general administrative support
Knowledge of the septic, sitework, excavation, or construction industry is a plus, but not required

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks
Excellent Apple Mac computer literacy including data entry, typing speed, and basic troubleshooting skills
Prior experience in customer service and administrative roles demonstrating strong phone etiquette and client communication skills
Ability to handle confidential information discreetly while maintaining professionalism
Strong time management skills with the ability to prioritize tasks efficiently
Ability to work independently and a part of the team
Personal assistant and office management experience is required
