Full Job Description

Position Summary

The Assistant Practice Administrator supports the daily administrative and operational functions of Deuk Spine Institute by assisting with human resources, employee development, compliance, office operations, physician support, and executive initiatives. This position works closely with executive leadership to ensure efficient operations while fostering a positive, compliant, and patient-centered workplace.

Primary Responsibilities

Human Resources & Recruiting

Coordinate recruiting activities, including job postings, applicant screening, interview scheduling, and reference checks.
Assist with hiring, onboarding, and offboarding employees.
Maintain personnel files and ensure employee records remain accurate and confidential.
Support employee relations by responding to routine HR questions and assisting with conflict resolution.
Assist with performance review processes and employee recognition initiatives.

Employee Onboarding & Training

Coordinate new employee orientation and onboarding programs.
Ensure all required employment documentation is completed.
Schedule and track mandatory training, certifications, and continuing education.
Assist department managers with employee training and professional development programs.

Benefits Administration

Coordinate employee enrollment and changes for medical, dental, vision, retirement, and other benefit programs.
Serve as a liaison between employees and benefit providers.
Assist employees with benefit questions and coordinate annual open enrollment activities.
Maintain accurate benefit records and documentation.

Compliance & Policy Management

Assist with maintaining compliance with federal, state, and local employment regulations.
Help implement and communicate company policies and procedures.
Coordinate required compliance training.
Assist with audits, accreditation activities, and regulatory documentation.
Maintain confidentiality of sensitive employee and organizational information.

Vendor Management

Coordinate relationships with vendors and service providers.
Obtain quotes, schedule services, and monitor vendor performance.
Assist in negotiating contracts and maintaining vendor records.
Ensure timely processing of vendor invoices and service requests.

Payroll Administration

Assist with payroll preparation by reviewing employee time records, PTO requests, and attendance.
Coordinate payroll information with the payroll provider.
Maintain payroll-related documentation.
Assist with resolving payroll discrepancies.

Office & Facility Operations

Support the day-to-day operations of the practice.
Coordinate office maintenance, repairs, and facility improvements.
Oversee office supply inventory and purchasing.
Ensure a safe, organized, and professional work environment.
Assist with emergency preparedness and facility safety initiatives.

Executive & Physician Support

Provide administrative support to physicians and executive leadership.
Assist with meeting preparation, agendas, minutes, and follow-up.
Coordinate executive projects and organizational initiatives.
Prepare reports, presentations, and operational documents.
Maintain discretion when handling confidential business matters.

Special Projects

Lead and coordinate administrative improvement initiatives.
Assist with implementation of new systems, workflows, and organizational processes.
Participate in strategic planning and operational improvement projects.
Perform additional duties as assigned by executive leadership.

Qualifications

Education

Bachelor's degree in Business Administration, Healthcare Administration, Human Resources, or a related field preferred.
Equivalent combination of education and experience may be considered.

Experience

Minimum of 3 years of progressively responsible administrative, HR, or healthcare office experience preferred.
Experience in a medical practice or healthcare environment strongly preferred.

Knowledge, Skills & Abilities

Strong organizational and project management skills.
Excellent interpersonal and communication abilities.
High level of professionalism and confidentiality.
Knowledge of HR practices and employment laws.
Strong problem-solving and decision-making skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with Microsoft Office Suite and practice management software.
Ability to work independently while collaborating effectively with physicians and leadership.

Physical Requirements

Ability to sit, stand, walk, and move throughout the office during the workday.
Ability to lift up to 25 pounds occasionally.
Ability to use standard office equipment, including computers and telephones.

Reporting Relationship

Reports directly to the Chief Operating Officer and works closely with physicians and executive leadership.
