Full Job Description

Position Summary

The Patient Access Services Manager is responsible for developing and maintaining effective centralized and decentralized patient access practices that support how patients enter and navigate care across Memphis Health Center. The position supervises front-office and call-center operations and is accountable for operational efficiency, staff performance, registration accuracy, patient access, and the quality of customer service delivered at each location.

Staff Supervision & Scheduling

· Coordinate and maintain staff work schedules to ensure appropriate front-office and call-center coverage.

· Review time records and requests for time off in accordance with organizational policy.

· Participate in the recruitment, interviewing, selection, and onboarding of direct-report staff.

· Support the development of an effective department structure that advances MHC's mission and business operations.

· Complete and provide input for performance evaluations, coaching, corrective action, and professional development of direct reports.

· Motivate staff and hold employees accountable for meeting patient needs, departmental standards, and organizational goals.

Staff Training & Development

· Ensure each employee understands the duties, performance expectations, desired outcomes, and resources associated with the position.

· Provide training, coaching, mentoring, and development necessary for staff to meet job expectations.

· Organize biweekly front-office staff meetings and monthly staff training sessions.

· Support ongoing learning, employee well-being, professional satisfaction, and increased responsibility through appropriate work assignments and mentoring.

Patient Access, Front Office & Call Center Operations

· Ensure patient needs are addressed promptly, respectfully, responsively, and compassionately.

· Ensure telephone calls are answered properly, pleasantly, and promptly.

· Oversee accurate appointment scheduling and active schedule management to maximize patient access.

· Ensure accurate entry of patient demographics, scheduling, insurance, and financial information into the practice management system.

· Ensure patients are greeted, checked in, and prepared for provider visits in a professional and courteous manner.

· Ensure financial information is entered and transmitted accurately and within required timeframes.

· Ensure a current patient photograph is maintained in the electronic practice management system and all registration materials are scanned into the electronic health record as required.

· Train staff and monitor front-office and call-center performance, productivity, quality, and service standards.

· Partner with the Continuous Quality Improvement and Marketing teams to identify and implement customer-service improvements.

· Develop and recommend corrective solutions in response to trends identified through monthly and quarterly quality reports.

Leadership & Operational Performance

· Lead efforts to centralize and standardize patient access services, including inbound and outbound call-center workflows and related support functions.

· Ensure high-quality customer service, accurate registration, insurance verification, and appropriate financial counseling or collection activities.

· Oversee admission, registration, appointment scheduling, pre-certification, insurance verification, and cashiering functions.

· Provide departmental and interdepartmental leadership in collaboration with clinical and administrative leaders.

· Maintain a working understanding of MHC's interdepartmental operations and promote effective coordination across departments.

· Improve pre-registration, insurance pre-verification, registration accuracy, and up-front collections.

· Foster a positive, proactive, and respectful work environment that emphasizes quality, patient service, innovation, accountability, and teamwork.

Administrative, Financial & Quality Responsibilities

· Perform administrative duties necessary for effective departmental operations or as directed by the Senior Director of Operations.

· Provide consistent weekly communication, reports, and supporting materials to the Senior Director of Operations regarding activities, risks, outcomes, and progress toward established objectives.

· Coordinate with the Billing Department regarding billing, charges, registration errors, and front-end revenue-cycle concerns.

· Assist in preparing the annual departmental budget and manage staff and resources to meet approved budget objectives.

· Participate in organization-wide quality and performance improvement activities.

· Support the development and implementation of policies and procedures that promote consistent, high-quality operations.

· Ensure compliance with applicable standards, laws, and regulations, including requirements established by HRSA/BPHC, The Joint Commission, CLIA, OSHA, and state and federal agencies, as applicable.

General Responsibilities

· Maintain effective working relationships across the organization.

· Demonstrate professionalism, sound judgment, organization, and attention to detail.

· Maintain compliance with HIPAA and organizational policies.

· Perform other duties as assigned in support of MHC's mission and operational needs.

Minimum Qualifications

Education: Associate degree required; bachelor’s degree preferred.

Experience: Minimum of three years of medical-office experience required. Leadership experience in registration, scheduling, call-center operations, or patient access management required. Experience in an outpatient clinic, community health center, or Federally Qualified Health Center is preferred.

Knowledge, Skills & Abilities

· Strong leadership, staff-development, customer-service, communication, and problem-solving skills.

· Knowledge of patient registration, scheduling, insurance verification, billing, and front-end revenue-cycle processes.

· Ability to manage multiple locations, priorities, deadlines, and operational issues.

· Ability to analyze performance information and implement workflow and service improvements.

· Proficiency with electronic practice management and health-record systems.

· Ability to maintain confidentiality and comply with HIPAA and organizational policies.

Pay: $48,880.00 - $64,500.00 per year
