Full Job Description

The Department of Pediatrics at Stanford University School of Medicine is seeking a full-time Research Coordinator Associate (CRCA) to support the Healthy GOALS study, a community-based research program focused on improving child and family health outcomes.

This is a remote position. While the role is home-based, it requires regular travel throughout the Merced area to conduct study visits, facilitate family sessions, recruit participants, and engage with community partners. There is also the potential for study activities to expand into the Fresno area in the future. Because of the frequent in-person community engagement, the ideal candidate will reside in or near the Merced region.

The Research Coordinator Associate will manage the day-to-day operations of the Healthy GOALS study, serving as the primary point of contact for participants and ensuring the successful implementation of study activities. Responsibilities include participant recruitment and enrollment, scheduling and coordinating study visits, collecting and managing research data, supporting intervention delivery, maintaining regulatory and study documentation, and collaborating closely with investigators, research staff, and community partners to ensure high-quality study execution.

The ideal candidate is highly organized, detail-oriented, and able to work independently while managing multiple priorities in a fast-paced research environment. Strong interpersonal and communication skills are essential, as this position involves building relationships with participants, families, schools, healthcare providers, and community organizations. Experience coordinating clinical or community-based research, working with diverse populations, and conducting community outreach is highly desirable.

Duties include:

Coordinate study activities from startup through close-out, including participant recruitment, screening, scheduling, enrollment, data collection, and follow-up.
Serve as a primary contact for research participants, families, sponsors, regulatory agencies, and community partners.
Communicate regularly with prospective and enrolled families in a professional, supportive, and culturally appropriate manner.
Determine participant eligibility, obtain informed consent according to protocol, and assist with recruitment and community outreach strategies.
Serve as a primary data collector for child and parent assessments, including administering surveys, questionnaires, and standardized interview questions.
Explain study procedures to participants in a clear, professional, and participant-friendly manner.
Collect child and parent study data according to standardized research protocols, study manuals, and certification requirements.
Conduct anthropometric and related body composition measurements, including height, weight, waist circumference, and other study-specified measures.
Coordinate and administer health behavior assessments, including physical activity, sedentary behavior, sleep, screen time, and dietary assessment procedures.
Enter, manage, and track participant data in secure study databases accurately and promptly.
Develop and maintain study-related documents, flow sheets, case report forms, tracking logs, and other study materials.
Review study records and case report forms for completeness and accuracy against source documents.
Track assessment completion, coordinate reminders and make-up visits, and proactively follow up with families to minimize missing data.
Ensure compliance with research protocols, institutional requirements, IRB approvals, and regulatory documentation standards.
Prepare regulatory submissions and assist with IRB renewals, monitor visits, sponsor meetings, and regulatory audits.
Interact regularly with the principal investigator and study team to ensure participant safety, data quality, and adherence to proper study conduct.
Assist with training and supervision of additional study staff related to recruitment, enrollment, assessment procedures, and data collection.
Participate in delivery of weekly group health behavior change sessions for children and parents during evening hours.

DESIRED QUALIFICATIONS: Spanish- English bilingual fluency.

Core Duties :

Serve as primary contact with research participants, sponsors, and regulatory agencies. Coordinate studies from start-up through closeout.
Determine eligibility of and gather consent from study participants according to protocol. Assist in developing recruitment strategies.
Coordinate collection of study specimens and processing.
Collect and manage patient and laboratory data for clinical research projects. Manage research project databases, develop flow sheets and other study related documents, and complete study documents/case report forms.
Ensure compliance with research protocols, and review and audit case report forms for completion and accuracy with source documents. Prepare regulatory submissions and ensure Institutional Review Board renewals are completed.
Assemble study kits for study visits, monitor scheduling of procedures and charges, coordinate documents, and attend monitoring meetings with sponsors, acting as primary contact.
Monitor expenditures and adherence to study budgets and resolve billing issues in collaboration with finance and/or management staff.
Interact with the principal investigator regularly, ensuring patient safety and adherence to proper study conduct.
Ensure essential documentation and recording of patient and research data in appropriate files per institutional and regulatory requirements.

Minimum Education and Experience

Two-year college degree and two years related work experience or a bachelor’s degree in a related field or an equivalent combination of related education and relevant experience.

Knowledge, Skills and Abilities :

Strong interpersonal skills.
Proficiency with Microsoft Office.

Certificates and Licenses Required

Society of Clinical Research Associates or Association of Clinical Research Professionals certification is preferred.
