Full Job Description

We are looking for a Front Desk Coordinator to support daily office operations for a manufacturing environment in Merced, California. This Long-term Contract opportunity is well suited for someone who enjoys being the first point of contact, communicates confidently, and adapts easily to changing priorities. The role combines front office reception, administrative coordination, and customer-facing support to help keep the workplace organized and running efficiently.

Responsibilities:

Welcome visitors, employees, and business partners with a detail-oriented and helpful approach while managing front desk activity throughout the day.
Receive and route incoming phone calls through a multi-line phone system, taking accurate messages and directing inquiries to the appropriate teams.
Enter sales order information and other office records with accuracy while maintaining organized documentation.
Process payments and assist with related administrative records in a timely and detail-oriented manner.
Coordinate incoming and outgoing mail, shipments, and deliveries to ensure items are tracked and distributed properly.
Arrange meetings, appointments, and shared office spaces while helping maintain calendars and support onsite event logistics.
Monitor office supply levels, place replenishment orders, and keep inventory records up to date.
Provide clerical support through filing, scanning, document preparation, and assistance with general administrative projects.
Work closely with internal departments to support smooth day-to-day operations and follow visitor security procedures, including check-in and badge issuance.
At least 3 years of experience in a front desk, receptionist, or administrative support role.
Strong verbal and written communication skills with the ability to interact professionally with visitors, customers, and internal staff.
Experience handling receptionist duties, concierge-style service, and inbound call management in a busy office setting.
Proficiency using a multi-line phone system or switchboard with the ability to manage several calls efficiently.
Accurate data entry skills and the ability to manage records, schedules, and routine administrative tasks with attention to detail.
Comfortable processing payments, coordinating office activities, and supporting multiple priorities in a team-oriented environment.
Dependable, adaptable, and willing to take on new responsibilities as business needs evolve.
