Full Job Description

Valley Healthcare Supply is looking for a friendly, dependable, organized, and motivated individual to join our team as a DME Customer Service Representative.

This is a hands-on position for someone who enjoys helping patients and customers while also staying on top of referrals, medical equipment orders, inventory, and daily showroom operations.

The ideal candidate is a self-starter who can multitask, follow through on orders from beginning to end, and provide excellent customer service.

Essential Duties & Responsibilities:

Customer Service & Retail

Greet and assist all walk-in customers and patients in a friendly, professional, and approachable manner.
Assist customers with home medical equipment and supply needs.
Ask appropriate questions to understand customer needs and make product recommendations.
Answer customer questions and resolve concerns professionally.
Answer incoming phone calls and assist or direct callers appropriately.
Ensure every customer and patient has a positive experience with California Home Medical.
Maintain a professional, welcoming, and organized front-office environment.

Referrals & Order Processing

Receive and process referrals from walk-in patients, physician offices, fax, and other referral sources.
Maintain accurate tracking of all incoming referrals and orders.
Review referrals for required documentation and follow up on missing information.
Verify insurance eligibility and benefits.
Determine coverage requirements and obtain necessary documentation.
Submit prior authorization requests when required.
Follow up on pending authorizations, prescriptions, medical documentation, and other outstanding items.
Communicate with insurance companies, physician offices, referral sources, patients, and caregivers as needed.
Create delivery tickets and other required order documentation.
Schedule patients for equipment pickup, delivery, or appointments.
Fulfill orders for various programs, contracts, insurance plans, and referral sources.
Follow each referral/order through to completion rather than allowing orders to remain unresolved.
Keep patients informed regarding the status of their orders and follow up as necessary.
Maintain accurate electronic documentation and tracking of pending referrals, authorizations, scheduled deliveries, completed orders, and outstanding follow-ups.
Protect confidential patient and company information at all times.

Inventory & Showroom

Assist with monitoring and maintaining accurate inventory.
Receive, organize, stock, and properly store merchandise and medical equipment.
Transfer products from the stockroom to the sales floor as needed.
Monitor inventory levels and communicate when products need to be reordered.
Help prevent inventory loss and immediately report discrepancies.
Keep the showroom and sales floor clean, organized, stocked, and visually appealing at all times.
Maintain product displays, signage, marketing materials, and merchandising.
Make sure equipment and products are properly placed and presented.

General Office Responsibilities

Answer phones and communicate professionally with patients, physician offices, insurance companies, and referral sources.
Receive and process incoming faxes.
Scan and upload documents into the appropriate systems.
Perform data entry and maintain accurate patient/order records.
Assist with filing and other clerical responsibilities.
Complete assigned tasks accurately and in a timely manner.
Communicate effectively with other team members regarding pending orders and customer needs.

Minimum Qualifications

Bilingual English/Spanish preferred
Customer service experience
Strong organizational and multitasking skills
Strong attention to detail
Ability to work independently and as part of a team
Ability to prioritize tasks and follow through without constant supervision

Pay: $18.00 - $25.00 per hour
