Position Summary:
Reporting to the Accounting Manager, the Accounts Payable Specialist will ensure that liabilities incurred on behalf of NHEC for materials received and services rendered are processed and paid in a timely fashion and monitor all functions related to accounts payable to provide accurate financial reports in accordance with established accounting policies and efficient management of NHEC.
Responsibilities and Essential Functions:
- Ensure vendor information (name, setup, address, W-9, ACH details) is current and accurate.
- Ensure accurate and timely disbursement of funds by entering invoices timely in the Financial System assigned to the correct vendor with appropriate FERC account numbers, due date, and when applicable - activity codes, purchase order numbers, and work order numbers.
- Ensure compliance with vendor payment terms and establish cash management practices by scheduling payments in the NISC system.
- Validate the legitimacy of disbursements by verifying compliance with the established approval procedures and policies.
- Protects the assets of NHEC by matching all supporting documents, including invoice, purchase orders, receiving documents, and required approvals.
- Communicate regularly with the Purchasing department to update or create purchase orders when invoices are received without them.
- Communicate regularly with P&C to ensure non-invoiced employee benefits are processed in a timely manner.
- Communicate regularly with CEO’s administrator to ensure Board of Directors’ per diems are paid in a timely manner.
- Work with Energy Solutions to processes rebates, Consumer Accounting to process member refunds, and other departments as needed.
- Verify the accuracy of payments by performing mathematic calculations, extensions, and cross-footing and by comparing quantities and dollar values to purchase orders and verifying services have been completed.
- Reconcile vendor statements to invoices received and entered into the system.
- Monitor outstanding check reports to identify potential abandoned property, ensuring compliance with State of New Hampshire regulations, including tracking, reissuing payments, and annual reporting.
- Process payments via check or via electronic payment on a weekly basis; prepare Disbursement Compliance forms and provide supporting document for review.
- Maintains control of check stock by recording check numbers in a Check Log.
- Prepare and distribute Form 1099 in compliance with IRS regulations.
- Collect and maintain Forms W-9 in the iVue Vendor Vault to support IRS reporting requirements.
- Collect and compile vendor-related data required for New Hampshire state unemployment tax reporting, ensuring accuracy and completeness.
- Assist with month-end and year-end closing activities, including account reconciliations and supporting schedules.
- Support NHEC’s strategic goals by assisting in the process of developing, reporting on, and achieving Balanced Scorecard objectives.
- Support the cultural goals of NHEC by exhibiting self-leadership, developing effective working relationships, having results orientation, being innovative, and seeking feedback.
- Increases professional and technical knowledge by attending educational classes, reading professional magazines, and participating in professional societies. Improves corporate safety performance by maintaining a safe and clean working environment, participating in department safety meeting, adhering to Employee Safety Rules and Procedures, recognizing at risk behaviors and conditions and taking corrective actions or providing feedback.

Required Education and Experience:
- High school diploma or GED required.
- Two years’ experience in the field of accounting.
- Understanding of Accounting Theory and the application of generally accepted Accounting Principles.
- Proficiency in Microsoft Office tools (Excel, Word, PowerPoint, Teams) and comfort working with enterprise systems and databases.
- Capable of handling a diverse set of job responsibilities.
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.

Preferred Education and Experience:
- Bachelor's degree in accounting
- 5 years of accounts payable experience

- Employees will be assigned functions to support storm restoration and for some employees that may be different from their normal duties.

Working Conditions:
Normal office conditions, occasional overtime may be required. Positions eligible for a hybrid work schedule will be dependent upon management approval & workload, however on-site office work in the Plymouth, NH area will be required.
Will be required to work long hours on occasions, especially during major system outages. Limited travel required in the performance of work responsibilities and representing NHEC at various professional and association meetings.

The targeted salary for this position is $60,874.14 - $68,484.75 with anticipated pay for new hires between the entry and midpoint of the range and could vary above and below the listed range as permitted by applicable law. Pay is based on non-discriminatory factors including but not limited to work experience, education, licensure requirements, proficiency and qualifications required for the role. The base pay is just one component of NHEC's total compensation package for employees.
