MGI Inc. is looking for an experienced Administrative Operations Manager to join our growing team.

This is a hands-on role with responsibility for administrative operations, weekly payroll, construction project support, customer service, and office management. The right candidate will be highly organized, detail-oriented, dependable, and comfortable balancing multiple priorities while supporting both our office and field teams.
What You'll Do
Construction & Project Support:
- Provide day-to-day administrative support to Project Managers and field personnel.
- Assist with project documentation, reporting, coordination, and other project related administrative needs.
- Help ensure information flows efficiently between the office, Project Managers, field teams, clients, and vendors.
- Support the team with changing priorities and operational needs as projects progress.
Payroll Processing:
- Manage and process accurate weekly payroll.
- Review employee timekeeping and resolve discrepancies prior to payroll processing.
- Process payroll in accordance with applicable Davis-Bacon Act and Service Contract Act prevailing-wage requirements.
- Maintain accurate payroll documentation and records.
- Coordinate with employees, managers, and leadership to resolve payroll and timekeeping questions.
Office Operations:
- Oversee the day-to-day administrative operations of the office.
- Develop, organize, and maintain efficient office procedures and systems.
- Manage office supplies, equipment, vendors, and facility needs.
- Identify opportunities to improve administrative processes and increase efficiency.
- Maintain organized and accurate company records.
Customer & Vendor Service:
- Serve as a professional and welcoming point of contact for customers, vendors, and other external partners.
- Manage incoming calls and inquiries and ensure they are routed or resolved appropriately.
- Respond to questions and concerns promptly, professionally, and with a customer-first mindset.
- Build positive working relationships with customers, vendors, employees, and project partners.
Executive & Administrative Support:
- Provide administrative support to the executive team and other staff as needed.
- Assist with reports, documentation, recordkeeping, and special projects.
- Coordinate information and communication across departments.
- Handle sensitive company and employee information with professionalism and discretion.
What We're Looking For
Required Qualifications:
- 5+ years of administrative or operations experience, preferably within the construction industry.
- Experience processing payroll and managing employee timekeeping.
- Strong proficiency with Microsoft Office and Google Workspace.
- Experience working with HR/payroll platforms for payroll processing, time tracking, expense reimbursements, or related functions.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and commitment to accuracy.
- Excellent written and verbal communication skills.
- Professional, friendly, and service-oriented approach when working with customers, vendors, and employees.
- Ability to work independently, take initiative, solve problems, and follow through on responsibilities.
Preferred Qualifications:
- Experience with Davis-Bacon Act and/or Service Contract Act prevailing-wage payroll.
- Experience working in a construction company or supporting construction project teams.
- Familiarity with construction management software such as Procore.
- 3+ years of bookkeeping or financial recordkeeping experience.
- Experience improving administrative processes, procedures, and systems.
