Full Job Description

The Dual Medical Assistant/Medical Receptionist is a support to the staff and providers, as well as a resource and advocate for our patients. Daily operational activities such as the active management of patient wait times, monitors the flow of patients, performs as a multi-purpose support for the entire clinic, and actively advocating for improving the patient experience are integral functions of this position. The Dual Medical Assistant/Medical Receptionist promotes the Protea Culture of positivity, health and integrity. This position requires a team member who is fast on their feet, accommodating, enthusiastic and is a key role in driving the highest standards of patient care.

Responsibilities

- Dual role being a primary point of contact for patients in the clinic while supporting front office functions, as well as caring for patients in a Medical Assistant capacity while supporting back office functions

- Monitors the flow of patients and keeps patients informed of wait times or delays

- Supports the clinic with exceptional customer service and treats all patients with respect and compassion

- Ensures clinic and front reception area is running smoothly and patient flow is optimal, and provides patient care services in the back office medical setting, which will meet the specific needs of the patient

- Identify gaps in patient care process and discuss with management for change initiatives

- Primarily this role will be supporting the clinic in the position of a Medical Receptionist, but will be flexible to adapt to the day as needed to support the clinical or medication team

Job Duties

- Welcome patients in person or via telephone, and answer or refer medical inquiries

- Organize and schedule appointments for patient visits and lab work

- Take prescription requests and follow up with communication related to medications

- Produce and distribute medical correspondence letters, faxes, and forms

- Protect patient rights by maintaining confidentiality of medical, personal, and financial information

- Ensure availability of treatment information by completing and retrieving patient records

- Maintain patient accounts by obtaining and updating personal information

- Escort patients to exam rooms

- Disinfect and clean treatment rooms following patient examinations

- Maintain safe, secure, and healthy work environment by establishing and following standards and procedures

- Keep exam rooms stocked with adequate medical supplies and properly disposes of contaminated supplies daily

- Unpack and put away incoming boxes of supplies to ensure hallways are clear of clutter and hazards

- Take telephone messages and provide feedback and answers to patients

- Work synergistically with the Front Desk to provide the highest-level patient care

- Collect financial information and process transactions in Quickbooks as needed to support Front Desk staff

- Welcome patients and visitors in person or on the telephone, and answering or referring inquiries via phone, text or in person

- Organize and schedule appointments for patient visits and laboratory work

- Take prescription refill requests and follow up with additional corresponding communication related to medications

- Handle receivable and payable accounts and related financial records in Quickbooks

- Protect patient rights by maintaining confidentiality of medical, personal, and financial information

- Ensure availability of treatment information by filing and retrieving patient records

- Maintain patient accounts by obtaining, recording, and updating personal and financial information

- Update consents on file for patients as needed per visit

- Complete daily tasks assigned through NextGen

- Check voicemails and text messages throughout the day

- Check in and out patients through Medical Check In and NextGen systems at the appropriate times

- Work Recall Lists to ensure patients have follow up bloodwork and appointments scheduled

- Confirm upcoming patient appointments via text/phone and collect fee for telehealth appointments

- Follow up on any patient no-shows and charge as necessary

- Complete daily checklist as assigned by the Department Manager

- Communicate with patients when refill requests are received and when they are ready for pick up while following HIPPA guidelines, ensuring to meet the patients’ needs.

- Clarify any details needed with patients’ to ensure refill is filled accurately and timely

- Assist patients’ through the medication window to improving flow in reception area by pulling completed medications and cashing them out through Quickbooks

- Participate in contributing ideas to improve patient care and organizational effectiveness

- Schedule patients in EHR when needed in order to dispense medication

- Possess a growth mindset and seek feedback to improve

- Unpack and put away supplies to ensure hallways are clear of clutter and hazards

- Any other tasks assigned by management to support the clinic

Skills

· Proven working experience as a medical assistant and as a medical receptionist

· Excellent time management skills and ability to multi-task and prioritize work with little supervision

· Social perceptiveness and service oriented

· Excellent written and verbal communication skills

· Strong organizational and planning skills

· Preferred experience with patient management software and QuickBooks software

· Preferred experience with Mac/Apple computers

· Strong attention to detail

· Ability to work under pressure in a fast-paced work environment

· Emotional maturity and stability to approach stressful situations in a calm and rational manner

· Ability to provide effective written, oral, nonverbal communication with patients and their families, team members, healthcare providers, and the public

· Ability to speak clearly and understand the speech of others

· Collaborative approach to working with a team and a passion for helping others

· Approachable, driven and possesses a positive attitude

Education

· High School or equivalent

· Medical Assistant Certification

Physical Requirements

- Ability to sit, stand or walk throughout the clinic for prolonged periods and/or work at a computer

- Must be able to lift up to 15 pounds at times
