Office Coordinator / Executive Coordinator

Continental Flooring Company is seeking a highly organized and dependable Office Coordinator & Executive Coordinator to join our corporate headquarters team in a key administrative role supporting leadership, helping manage government bid activity, and assisting with the daily operations of our office.

This position works closely with multiple departments across the company and helps keep many of our day-to-day office functions running smoothly. With several long-tenured employees approaching retirement in the coming years, we are looking for an important long-term member of our support team who is interested in building a career with us.

Continental Flooring Company is a family-owned contractor based in Scottsdale providing nationwide flooring and ceiling services primarily for government customers. Many members of our team have been with us for 20+ years, and we take pride in developing employees who want to grow with the company over time.

If you enjoy being organized, supporting others, and helping an office operate efficiently behind the scenes, this may be an excellent fit.

Primary Responsibilities

· Primary responsibilities include providing executive administrative support to company leadership

· Coordinating government bid activity, including schedules, submissions, records, and CRM updates

· Overseeing core office operations and administrative workflows

· Serving as a power-user resource for company tech stack with basic end-user support and coordination with IT vendor as needed

· Understanding the future of AI use (including agentic AI) in the office from an administrator standpoint and helping to drive its implementation forward across the organization.

· Supporting onboarding, internal events, and a professional office environment

· Help support employees as new productivity tools are introduced, including emerging AI-based tools. This is not an IT role, but comfort learning business systems is important.

Strong organizational and time-management skills
Ability to Multi-Task at a high level
Excellent written and verbal communication
Professionalism in handling confidential information
Comfort providing direct support to leadership
Attention to detail in deadline-driven workflows
Strong Microsoft Office / Microsoft 365 skills
Ability to learn and support business systems
Initiative and a continuous-improvement mindset

Helpful experience may include:

Executive assistant or administrative support experience
Construction and/or government bid coordination experience
Experience supporting a range of business applications and platforms
Licensing, compliance, or credential-tracking experience
Office coordination in a multi-department environment

This is not a traditional administrative position; it is a central coordination role supporting leadership, operational execution, and office culture. The successful candidate will become a trusted, cross-functional resource and is expected to pursue a long-term career with a stable organization that values initiative, collaboration, and continuous improvement.
