Full Job Description

Job Overview

We are seeking an energetic and detail-oriented Secretary/Receptionist to be the welcoming face of our law firm. In this vital role, you will manage front desk operations, handle phonecalls, and provide exceptional administrative support to ensure smooth daily operations. Your positive attitude, organizational skills, and ability to communicate effectively AND POSITIVELY will help create a professional and friendly environment for clients and employees alike. This position offers an exciting opportunity to develop your office management skills while contributing to an expanding team.

Responsibilities

Greet clients warmly, ensuring they feel welcomed and attended to promptly
Receive and direct incoming calls with upbeat professionalism and courtesy
Manage appointment calendars including setting up in-person, telephonic, and virtual consults, send calendar invites, and send follow-up reminders for said appointments
Receive payment for appointments and send out law firm review correspondence
Perform clerical duties including scanning and filing documents, receiving, scanning, and distributing mail, recording documents, and mailing out documents including providing copies of documents and/or files to clients and opposing parties
Handle correspondence via email, phone, or mail with clarity and efficiency
Handle closing out of cases when representation of a client has concluded

Experience

Previous office experience roles preferred but not required; STRONG INTERPERSONAL SKILLS ARE A MUST
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
Experience with front desk duties, including phone reception, scanning, filing, and making copies
Demonstrated excellent communication skills—both verbal and written—along with strong organizational talents
Proven ability to manage time efficiently and stay on task while handling multiple responsibilities
