Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities

Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette.
Maintain organized filing systems, both physical and digital, including data entry into spreadsheets and databases.
Handle calendar management for team members, scheduling appointments, meetings, and reminders with precision.
Provide front desk support by greeting visitors, managing client communication, and ensuring a positive first impression.
Utilize productivity software such as Microsoft Office (Word, Excel) and Google Workspace for document creation, proofreading, and report generation.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
Support office management activities including supply inventory, filing systems, and general administrative duties to enhance overall productivity.
Deliver excellent customer service by supporting client needs via phone or in person while maintaining professionalism at all times.

Qualifications

* BILINGUAL

Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools, and data entry with high accuracy.
Technical proficiency with computer literacy across various platforms; experience with QuickBooks is a plus.
Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
Excellent verbal and written communication skills; bilingual ability is highly desirable for diverse client interactions.
Experience handling multi-line phone systems, front desk responsibilities, and customer service roles such as medical or dental receptionist is preferred.
Strong typing skills with attention to detail for proofreading documents and managing correspondence.
Ability to manage time efficiently while juggling multiple responsibilities in a professional manner.
