Position Title: Customer Service Manager

Classification: Exempt (salaried)

Reports To: Director of Operations

Compensation: $48K - $55K annually

ABOUT US:

The Humane Society of Greater Miami (referred to as “Company”) is a non-profit organization dedicated to the rescue, rehabilitation, and rehoming of animals in need. Our mission is to provide compassionate care, advocacy, and support for animals while educating the community about responsible pet ownership and animal welfare.

POSITION SUMMARY:

The Customer Service Manager provides leadership and operational oversight for the teams and programs that serve as the public face of the organization. This role is responsible for supporting compassionate, efficient, and mission-driven service delivery across all client-facing interactions, including adoptions, customer support, community assistance programs, pet pantry services, retail operations, and call center support.

DUTIES & RESPONSIBILITIES:

Oversee daily operations and service delivery for front-facing customer service areas, adoptions support, surrender prevention resources, community pet pantry services, support outreach initiatives, and related public-facing programs.
Support and guide the team responsible for creating a positive, welcoming, and solutions-focused experience for clients and visitors.
Provide leadership, coaching, accountability, and support to frontline staff and supervisors.
Develop staff schedules, workflows, and operational priorities to ensure effective coverage and service delivery.
Support recruitment, hiring, onboarding, training, performance management, and offboarding processes.
Foster a collaborative, mission-driven, and client-centered team culture.
Assist staff in navigating emotionally complex, high-volume, or escalated client situations with professionalism and empathy.
Oversee daily operations of the retail store, including merchandising, organization, cleanliness, and customer experience.
Monitor inventory levels and coordinate ordering, restocking, inventory tracking, and loss prevention practices.
Support the development of retail promotions, displays, and sales initiatives aligned with organizational goals.
Ensure accurate cash handling, pricing, and point-of-sale procedures.
Collaborate with leadership and marketing teams to maximize retail engagement and revenue opportunities.
Facilitate communication and collaboration between operational departments including adoptions, behavior, medical, humane education, customer service, and animal care.
Identify and resolve workflow barriers, operational inefficiencies, and service delivery challenges.
Participate in operational planning meetings, huddles, and cross-functional initiatives.
Assist in developing and improving policies, procedures, and customer service standards.
Identify opportunities to effectively integrate volunteers into customer service and community support programs.
Support consistency in volunteer onboarding, role expectations, training, and staff collaboration.
Help foster a positive, inclusive, and mission-focused volunteer experience in partnership with leadership teams.
Support community outreach events, partnership initiatives, pet pantry efforts, and public engagement activities as needed.
Must be available for occasional evenings, weekends, special events, or emergency response situations as needed.
Track, monitor, and analyze key performance indicators (KPIs) related to customer service, adoptions support, community programs, retail operations, and outreach efforts.
Prepare reports, operational updates, and program summaries for the Director of Operations.
Use operational data and trends to support decision-making, process improvement, and strategic planning initiatives.
Perform other duties as assigned.

QUALIFICATIONS:

Bachelor’s degree in Business Administration, Nonprofit Management, Communications, Animal Welfare, or a related field preferred; equivalent experience considered.
Three to five years of experience in operations, program management, customer service, retail management, or a related field; nonprofit or animal welfare experience preferred.
Proven ability to lead teams, manage competing priorities, and drive results in a fast-paced environment.
Strong knowledge of customer service, retail operations, community programs, volunteer engagement, and/or shelter operations.
Excellent leadership, organizational, interpersonal, conflict resolution, and communication skills.
Demonstrated ability to solve problems, exercise sound judgment, and adapt to changing priorities.
Commitment to compassionate, mission-driven service and animal welfare.
Experience in an animal shelter, veterinary clinic, animal welfare organization, or nonprofit setting preferred.
Experience managing volunteers, community programs, outreach events, or retail operations preferred.
Bilingual English/Spanish or English/Creole strongly preferred.
Proficiency in Microsoft Office and business software; experience with shelter management or point-of-sale systems is a plus.
Valid driver’s license with an acceptable driving record preferred.

PHYSICAL DEMANDS:

Lifting and carrying animals and equipment over 50 pounds.
Walking, standing, sitting for prolonged periods depending on the task.
Frequent reaching, bending, kneeling, squatting, and stooping to care for animals and clean areas.
Ability to work in environments that may involve handling animals, dealing with various animal medical conditions, and exposure to animal-related hazards.
