Job Overview
We are seeking a highly organized and customer-focused Administrative Assistant to support our business. This role is essential in ensuring smooth daily operations by managing inbound phone calls, coordinating service appointments, making outbound follow-up calls, and providing general administrative support. Additionally, the Administrative Assistant will be responsible for ensuring that parts are correctly logged on job tickets and that inventory levels at their location are accurate and well-maintained. The ideal candidate will be detail-oriented, possess excellent communication skills, and be able to maintain a professional office environment.
Location: Davie, Florida
Employment Type: Full-Time, Monday through Friday 8:00 am to 5:00 pm
Compensation: $20 - $22/hr., paid biweekly

Key Responsibilities
- Inbound Call Management: Answer and direct inbound phone calls for the business by providing excellent customer service.
- Service Job Tickets: Create and manage service job tickets, ensuring accurate and timely entry into the system, including ensuring all necessary parts are accounted for.
- Appointment Coordination: Schedule service appointments by coordinating between clients and technicians, ensuring efficient use of time and resources.
- Outbound Follow-Up: Make outbound calls to follow up with customers, ensuring their needs have been met and addressing any additional concerns.
- Customer Support: Assist walk-in visitors, providing general information and directing them to the appropriate resources.
- Inventory Management: Ensure that inventory levels at the office are accurate and up-to-date, and that all parts are properly logged onto job tickets.
- Office Maintenance: Clean and organize the office to maintain a professional appearance, including managing office supplies and ensuring common areas are tidy.
- RMA Processing: Facilitate Return Merchandise Authorizations (RMA) for equipment, coordinating with vendors and clients as needed.
- Administrative Support: Assist management with various administrative tasks, as needed.
- CRM Management: Update and maintain the CRM database, ensuring that customer information is accurate and up to date.
Minimum Qualifications
Applicants must meet the minimum qualifications, but training will be provided to develop the preferred qualifications.
- Drug Screening: Must pass a pre-employment drug screening.
- Background Check: Must pass a pre-employment background check with no criminal convictions.
- Age & Work Eligibility: Must be 18 years of age or older and legally eligible to work in the United States.
- Driver’s License: Possess a valid driver’s license with a clean driving record.
- Education: High school diploma or equivalent required.
- Language Proficiency: Ability to read, write, and speak English proficiently.
- Initiative: Must be a self-starter with the ability to work autonomously.
- Professional Appearance: Must maintain a clean and professional appearance.
- Communication Skills: Excellent verbal and written communication skills are essential for this role.
- Customer Service: A strong customer service mindset with the ability to handle inquiries politely and efficiently.
- Organizational Skills: Must be detail-oriented with strong organizational abilities.
- Computer Proficiency: Must be familiar with navigating and using software programs on a computer.
Preferred Qualifications
- Experience: Previous experience in an administrative or customer service role is preferred.
- Multitasking: Ability to manage multiple tasks and prioritize effectively.
- Technical Aptitude: Basic understanding of two-way Radio systems.
- Google Suite: Expertise with the Google application suite, including Gmail, Google Calendar, Google Drive, and other related tools.
