Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong technical skills to manage a variety of administrative tasks with enthusiasm and professionalism. Your contributions will help create a smooth-running office environment that fosters productivity and positive interactions.

Duties

Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Google Workspace.
Handle office management tasks like filing, proofreading documents, scheduling appointments, and calendar management for team members.
Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping.
Provide customer support by responding to inquiries via phone or email, ensuring a positive experience for clients and visitors.
Assist with clerical duties such as photocopying, faxing, mailing, and organizing files to keep the office running efficiently.
Coordinate with team members on various projects, ensuring timely completion through effective time management and organizational skills.

Qualifications

Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
Demonstrated proficiency in data entry, filing systems, and general clerical tasks.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong customer service skills with professional phone etiquette and communication abilities.
Experience working with multi-line phone systems and managing front desk operations.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Knowledge of QuickBooks or bookkeeping experience is preferred but not required; training may be provided.
Previous experience in medical or dental receptionist roles is a plus; familiarity with calendar management and personal assistant duties is advantageous.
