Assistant Property Manager - Job Description

OVERVIEW

Residential property management company in North Miami of approximately 200 units - looking to hire an energetic and self-motivated Assistant Property Manager, with at least 2 years of real estate property management or related experience. The Assistant Property Manager is responsible for assisting the Property Manager with managing two properties in the North Miami area.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Provide full administrative support, including phone support, typing, reports, filing and distribution of correspondence. Coordinate office supplies in absence of a property administrator.
Assist in lease administration activities, including abstracting leases and keeping our database current.
Ensure all property files are prepared and maintained in an orderly and logical manner, including leases and contracts.
Assist in daily activities such as move-in and move-out inspections.
Ensure work orders are being addressed in a timely and efficient manner.
Track budgets and collect rents in a timely & organized manner – post late and eviction notices when necessary.
Offer support in creating and presenting reports to ownership.
Ensure smooth daily operations on-site.
Ensure to keep office space tidy and organized.
Work with a team to achieve established budgeted financial and operational goals.
Ensure that the operation of both properties complies with Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and other laws and regulations governing housing operations.

JOB DESCRIPTION

Maintain property rentals by advertising and filling vacancies, meeting with prospect tenants, showing the property.
Assist in the lease enforcement process by approving prospective resident applications, renew leases, conduct periodic property inspections, follow proper notice requirements, evict residents, and impose / collect late fees and other charges as allowable and stated in the terms of the lease.
Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and take appropriate action to resolve and address service issues.
Review invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased. Ensure communication between the vendor/contractor, accounting, and the client/owner as needed.
Conduct routine and emergency property inspections and take proper action to ensure that the physical aspects of the property, grounds, buildings, and amenities meet established standards for safety, cleanliness, and general appearance and appeal.
Assist ownership & property manager in managing the client/owner relationship by doing the following: in-person meetings, conducting property tours, providing updates and information about the property’s performance, and responding to owner requests directly as needed.
Assist with after-hours calls such as: leasing calls, tenant emergency maintenance calls.

QUALIFICATIONS:

At least 2 years of experience of real estate property management or related experience
Customer Service Focus, positive attitude, strong work ethic, reliable and self-motivated
Organization skills
Time Management skills
High-energy, able to work well with others
Communication Proficiency (oral and written)
Knowledge of Rent Manager software is an asset.

LANGUAGE ABILITY:

Bilingual in English and Spanish is a plus
Demonstrate the ability to read, write, and communicate effectively.
Demonstrate the ability to understand and complete legal documents, explain property & contract features, and answer questions about property operations.

REASONING ABILITY:

Demonstrate an understanding of property operations and of lease terms and enforcement, including collection and evictions.
Use common sense and intuition to carry out instructions furnished in written, oral, or diagram form.
Demonstrate quick and effective problem-solving skills.
Demonstrate the ability to effectively delegate & evaluate staff performance.

COMPUTER SKILLS:

Proficiency Microsoft Office, & Rent management databases.

CERTIFICATES AND LICENSES:

Valid driver’s license is required

On call in case of emergency

Base Salary: $18.00 - $20.00 per hour

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets. Regularly required to travel between properties in varying weather conditions.

While performing the duties of this job, the employee may need to stand and walk for extended or continuous periods of time. They must be able to ascend and descend staircases, ladders, and/or step stools and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly operate office machinery.0
