About Us

We are a well-established wholesale distribution company seeking a motivated Accountant / Payroll & HR Administrator to join our accounting team. This position offers the opportunity to gain experience in payroll, accounting, financial reporting, and employee administration while working closely with the Controller in a small, collaborative environment.

This role is ideal for someone who enjoys variety, is highly organized, and wants to expand their accounting experience.

Primary Responsibilities

Payroll & HR Administration

Process semi-monthly payroll through ADP for employees
Process semi-monthly contractor 1099 pay for Independent Sales Representatives.
Maintain daily time and attendance records and resolve discrepancies.
Track employee PTO balances.
Maintain Independent Sales Representative agreements and related records.
Coordinate background checks for new hires.
Conduct new hire onboarding and ADP setup, including direct deposit.
Maintain employee personnel files.
Process unemployment claims and employee garnishments.
Complete employment verification requests.
Maintain sales representative information in SAP (ERP).
Order office supplies and assist with general office administration.

Accounting Responsibilities

Calculate monthly sales commissions and bonuses.
Prepare and distribute monthly commission reports.
Review independent reps and managers expense reports.
Prepare monthly bank and investment account reconciliations.
Assist with month-end and year-end closing procedures.
Perform account reconciliations.
Prepare journal entries for banking activities, credit card transactions, interest, and fees.
Perform three-way matching for international vendor and intercompany invoices.
Assist with weekly wire transfer requests.
Purchase and maintain company American Express gift card inventory.
Prepare recurring management reports.
Provide primary backup support to the Department during vacations and absences.

Additional Responsibilities

Assist with customer deposits.
Support weekly Accounts Payable processing as needed.
Assist with customer statements.
Assist in reviewing commission statements for accuracy.
Perform other accounting and administrative duties as assigned.

Qualifications

Associate or bachelor’s degree in accounting or finance.
Two or more years of accounting, payroll, bookkeeping, or related experience.
Experience with ADP payroll preferred.
Experience with Microsoft Excel. For Example: (Ex; SumIf, Lookups, and pivot tables)
Experience with SAP (ERP) is a plus but not required.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities and meet deadlines.
Excellent communication skills and a positive team attitude.
