Real Estate Administrator For Kevin R. Kreutzfeld, P.A. – A Top Producer with Annual Sales In Excess of $80 Million
The primary function of the Real Estate Administrator is to perform a wide range of secretarial and administrative duties while maintaining the highest level of professionalism. The ideal candidate is highly presentable, demonstrates impeccable follow-through, possesses exceptional verbal and written communication skills, and maintains outstanding attention to detail.

Key Responsibilities:
Executive & Administrative Support
- Manage and coordinate the agent's calendar, appointments, meetings, and scheduling priorities
- Maintain and prioritize daily task lists, workflows, and project deadlines
- Assist the agent in achieving business goals while maintaining operational efficiency
- Answer incoming calls with professionalism and exceptional client service
- Prepare listing presentations, comparative market analyses (CMAs), and client presentation materials
- Maintain detailed client activity records, including calls, notes, follow-ups, and CRM updates
- Assist with general office administration and special projects as assigned
Transaction Management
- Coordinate all transactions from executed contract through closing
- Prepare and manage documents through AppFiles, DocuSign, and other transaction platforms
- Monitor critical deadlines, escrow deposits, inspection periods, financing milestones, and compliance requirements
- Serve as a liaison between clients, title companies, lenders, inspectors, attorneys, and cooperating agents
- Ensure all parties remain informed throughout the transaction process
- Maintain accurate transaction files and records
Listings & Marketing Coordination
- Manage and audit active listing inventory
- Upload, maintain, and update listings within MLS (Matrix)
- Coordinate all listing photography, videography, floor plans, and marketing media
- Oversee listing launch activities including signage, brochures, fact sheets, CRM setup, and vendor coordination
- Coordinate print and digital marketing campaigns, including email blasts, direct mail, social media content, and magazine advertising
- Collaborate with marketing partners, designers, photographers, and vendors to ensure timely and accurate delivery of marketing materials
- Review all marketing content for quality, accuracy, and brand consistency
Client & Showing Coordination
- Schedule, confirm, and coordinate property showings
- Conduct showing follow-up and collect feedback from agents and prospective buyers
- Prepare showing materials and property information packages
- Maintain communication with sellers regarding showing activity and market feedback
- Occasionally assist with property showings, open houses, or special events when needed
Reporting, Events & Market Research
- Prepare and coordinate broker opens, private events, and open houses
- Generate and deliver seller activity reports
- Maintain daily MLS market reports and competitive market tracking
- Assist with property research, market analysis, and data collection
- Support client presentations and business development initiatives with relevant market information
