Full Job Description

The Restaurant Purchasing & Procurement Specialist is responsible for managing the purchasing, ordering, vendor coordination, inventory support, and cost-control processes for the restaurant. This role ensures that all food, beverage, operating supplies, equipment, and other restaurant needs are sourced, ordered, received, and tracked accurately while maintaining quality standards, cost efficiency, and timely availability for daily operations.

The ideal candidate is highly organized, detail-oriented, proactive, and experienced in restaurant purchasing, vendor communication, inventory controls, and hospitality operations.

Key Responsibilities

Purchasing & Ordering

- Manage daily and weekly purchasing needs for food, beverage, OS&E, smallwares, uniforms, cleaning supplies, and other operational items.

- Place purchase orders accurately and on time based on par levels, operational needs, menus, events, and business volume.

- Coordinate with chefs, managers, bar team, facilities, and department heads to confirm purchasing requirements.

- Ensure all orders are aligned with approved vendors, budgets, pricing, and quality standards.

- Monitor product availability and identify substitutions when needed, with proper approval.

- Track open orders, backorders, shortages, delayed deliveries, and vendor issues.

Vendor Management

- Communicate with vendors regarding pricing, availability, delivery schedules, credits, returns, and product concerns.

- Maintain strong vendor relationships while ensuring service, quality, and pricing expectations are met.

- Assist in sourcing new vendors and obtaining quotes for products, services, equipment, and supplies.

- Compare pricing and negotiate when appropriate to support cost control.

- Ensure vendor documentation is current, including W-9s, certificates of insurance, contracts, and payment terms when applicable.

Receiving & Inventory Support

- Work closely with receiving, culinary, bar, and operations teams to ensure deliveries are accurate and complete.

- Review packing slips, invoices, and purchase orders for accuracy.

- Identify and report discrepancies, damaged products, missing items, or incorrect pricing.

- Support inventory counts and help maintain accurate inventory records.

- Monitor par levels and recommend adjustments based on usage, seasonality, menu changes, and business volume.

- Assist with organizing storage areas and ensuring products are properly labeled, rotated, and stored.

Cost Control & Financial Accuracy

- Review invoices for correct pricing, quantities, credits, and approvals before submission to Finance.

- Track purchasing trends and identify opportunities to reduce waste, over-ordering, or unnecessary spending.

- Support food, beverage, and supply cost controls by monitoring purchases against budget and usage.

- Assist with monthly reporting related to purchases, vendor spend, inventory, and cost variances.

- Maintain organized purchasing records, invoices, purchase orders, and vendor files.

Operational Support

- Partner with department leaders to ensure operational needs are met without interruptions to service.

- Assist with procurement for special events, private events, menu launches, holidays, and seasonal activations.

- Support new product rollouts, equipment needs, and restaurant projects.

- Maintain awareness of urgent operational needs and respond quickly to last-minute requests.

- Ensure all purchasing activity supports the restaurant’s standards of quality, presentation, and guest experience.

Compliance & Standards

- Follow company purchasing policies, approval processes, and budget guidelines.

- Ensure all products meet food safety, quality, sanitation, and brand standards.

- Maintain confidentiality with vendor pricing, contracts, and internal financial information.

- Support compliance with health department, alcohol, safety, and company standards when applicable.

Qualifications

- Previous purchasing, procurement, inventory, or restaurant operations experience required.

- Experience in a high-volume restaurant, hotel, hospitality group, or luxury dining environment preferred.

- Strong knowledge of food, beverage, OS&E, smallwares, and restaurant operating supplies.

- Understanding of vendor ordering systems, purchase orders, invoices, inventory controls, and cost management.

- Strong attention to detail and ability to work with numbers accurately.

- Excellent communication, follow-up, and organizational skills.

- Ability to manage multiple priorities in a fast-paced environment.

- Proficiency with Microsoft Excel, Google Sheets, and purchasing/inventory systems.

- Experience with platforms such as Restaurant365, BirchStreet, Craftable, MarketMan, Toast, Oracle/Micros, or similar systems is a plus.

- Bilingual English/Spanish preferred.

Physical Requirements

- Ability to stand, walk, bend, and move throughout the restaurant and storage areas.

- Ability to lift and carry items up to 25–50 lbs as needed.

- Ability to work in kitchen, storage, receiving, and office environments.

- Availability to work flexible hours based on delivery schedules, business needs, and special events.
