Full Job Description

Job Overview:

Licensed Community Association Managers (ONLY PORTFOLIO) are being considered and will oversee the management and daily operations of Homeowner and Condominium Associations in the Miami Dade County area. BILINGUAL IS A MUST.

Applicant will provide management, direction and leadership to ensure the communities are maintained and operated in accordance with company objectives exceeding the expectations of the clients. Must possess a strong background in association management.

LCAM Requirements

Licensed Community Association Management (LCAM). Responsibilities are inclusive of working closely with the association(s), Board of Directors, and to manage and operate the community, facilitate solutions to problems encountered in the normal course of business operations. Strong management skills, customer service skills and supervisory skills are mandated for this position. Below are the functions expected from the LCAM:

Maintains current knowledge of state regulatory agency statutes and each client’s community’s documents, policies, and procedures.
Analyzes advantages and disadvantages of alternative solutions to problems and makes recommendations to the Board of Directors.
Provides leadership and direction to effectively manage relationships with other peripheral entities, to ensure the highest level of harmony between all entities while attaining property goals and objectives.
Develops and maintains an effective ongoing resident relationship plan, implements initiatives, and maintains a positive environment to achieve a satisfactory level of resident service as measured by formal and informal feedback, proactive communication, and surveys.
Works directly with the Board and vendors to define and implement goals relating to residents and the property at large.
Works with new members to coordinate the move-in process, provides an introduction and orientation to the association, and explains the current rules and regulations.
Ensures property improvements and other related projects are completed on time and within budget by effectively overseeing vendors on all projects.
Has the ability to supervise and oversee assignments performed by Maintenance staff.
Sets and adheres to the highest standards of performance and instills them in the staff by personal follow-up to insure that the service is being delivered. Demonstrates a routine and effective ability to adjust to changing circumstances.
Listens attentively to questions and comments from Board members and residents. Communicates in a professional and composed demeanor under all circumstances.
Responds to phone calls and email correspondence in a timely, professional manner.
Must have the ability to analyze and deal with a variety of situations and respond accordingly to prevent potential problems.
Maintains a positive professional relationship with the Board, residents, staff, and vendors.
Encourages, mentors and guides staff to behave in a professional manner and compliant with the company’s safety standards. Motivates staff to work as a team.
Has the ability to run a Board meeting when necessary, according to the association’s Governing Documents and within compliance of Florida Statute.
Monthly creates a management report, which depicts the actual condition of the property, specific buildings, and progress of any specific projects and makes clear and concise recommendations.
Prepares professional presentation of Board packages, reports, budgets, bids, etc.
Offers positive input when asked for recommendations for improved policies and procedures.
Observes all safety standards, suggests improvements, and participates in the efforts to provide safe work environment.
Understands and follows directions given by direct supervisors as well as the BOD.
Acts quickly, effectively, and decisively when the situation demands it.
Maintains accurate records, files, and communications pertinent to the Association office.
Works with the Board to maintain lines of positive communication (newsletters, eblasts, or other forms of communication) with residents.
Prepares and use of standard/specific RFP for bid solicitation (Request for Proposal with scope of work detailed). Following, prepares for the Board a bid comparison analysis spreadsheet for review and consideration.
Processes member violations and close them out upon resolution. Processes work orders and close them out upon completion. Processes architectural control applications, presents them for Board or Committee review and consideration.
Monitors deficit funding and surplus, rollover if required.
Work with accounting group, possesses knowledge of assets cash balances and availability of funds for projects. Cash flow management for capital improvements.
Reviews monthly financial statements.
Monitors aging report, timely legal action, and works with the Board to establish proper collection protocols

Qualifications
- Licensed Community Association Manager (LCAM) certification
- Proficiency in portfolio property management
- Bilingual (English & Spanish) proficiency for effective customer relationship management
