Job Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. This role involves overseeing all office procedures, handling financial and DMV paperwork, maintaining compliance with dealership policies, and supporting the management team. A key responsibility of this role is bookkeeping, including tracking accounts payable and receivable, reconciling transactions, and working with our accounting team to maintain up-to-date and accurate financial records.

Dryft Motors is a fast-growing used car dealership based in Miami, FL, specializing in commercial and consumer vehicles. We pride ourselves on providing a professional yet approachable environment for our customers and our team. As we continue to grow, we’re looking for an experienced and organized Office Manager to join our team and help streamline operations, manage dealership bookkeeping, and support our sales and service staff.

Responsibilities

Oversee day-to-day administrative operations and office procedures.
Handle full-charge bookkeeping for the dealership, including managing QuickBooks, reconciling bank statements, tracking expenses, and assisting with monthly and year-end financial reporting.
Manage title and registration processing, payoff checks, and contract funding packages.
Review and process deals for completeness and accuracy before submission.
Communicate with lenders, vendors, and third parties to ensure timely funding and record-keeping.
Maintain and reconcile dealer inventory records and floor plan balances.
Assist with payroll tracking, HR documentation, and onboarding paperwork.
Support the sales, service, and BDC teams with documentation and back-office needs.
Maintain compliance with dealership policies, DMV requirements, and financial procedures.

Qualifications

Proven experience in an office management role or similar administrative position.
Experience using QuickBooks for bookkeeping or open to learning and getting certified.
Strong calendar management skills with the ability to prioritize tasks effectively.
Excellent proofreading abilities with a keen eye for detail.
Bilingual proficiency is a plus, enhancing communication with diverse clientele.
Exceptional customer service skills with a friendly demeanor.
Familiarity with dealer office operations is preferred but not required.
Proficient in data entry and computer literacy, especially in Google Suite applications.
Strong time management skills to handle multiple responsibilities efficiently.
