Job Overview
The Accounting Operations Specialist owns the AP and GL-side back-office accounting cycle: accounts payable, general ledger, reconciliations, and the AP/GL portions of month-end close. AR-side close is owned by the AR Specialist. This role supports inventory and COGS reconciliation owned by the Senior Controller. This role partners closely with the Senior Controller to keep financial data accurate, audit-ready, and continuously improving.
Beyond transactional accuracy, this role drives process improvement and automation within NetSuite — using AI tools and modern workflow design to reduce cycle times, improve data integrity, and free leadership capacity for strategic financial work.
Key Responsibilities
Run the AP and General Ledger Cycle

Process vendor invoices, manage payment cycles, and maintain vendor master data integrity in NetSuite.

Resolve vendor inquiries and disputes with a focus on vendor experience and payment SLA performance.

Execute rebate claims under the rebate program owned by the Senior Controller.

Own vendor credit recovery: track credit memos, return credits, overpayments, and duplicate-payment credits in NetSuite; apply them against open bills; and recover aging credits before they lapse.

Reconcile vendor statements to surface missing credits, short-pays, and billing errors, and keep aged payables current.

Maintain GL accuracy and ensure transactions are recorded in the correct categories.

Prepare journal entries, accruals, and reconciliation packages.
Own Month-End Close (AP and GL-side)

Own and perform AP and GL-side portions of monthly, quarterly, and annual close. AR-side close is owned by the AR Specialist under the Senior Controller.

Perform monthly bank, credit card, and ledger reconciliations.

Investigate and resolve discrepancies promptly.
Support Reconciliations Led by the Senior Controller

Support inventory and COGS reconciliation led by the Senior Controller, in coordination with Build and Care operations.

Track project material cost to close and surface variance for margin reporting.
Sales Tax on Purchases

Manage sales tax on purchases: issue and maintain resale and exemption certificates to vendors, and verify vendor-charged tax. Transitions from the Senior Controller on a phased basis.
Drive Process Improvement and Automation

Identify and implement automation in AP, close, and reconciliation workflows.

Use AI tools to reduce manual processing and improve accuracy.

Co-own NetSuite workflow optimization with the Digital Business Analyst.
Own Audit Readiness and Documentation

Maintain documentation for audit readiness.

Manage expense reporting and reimbursements.

Accounting Operations

Monthly close days — Business days from period end to a complete, reconciled close.

AP cycle time and on-time payment rate — Average days to process a vendor invoice and percent of payments made on or before terms.

Aged vendor credits outstanding — Dollar value of unapplied vendor credits over 60 days, trending to zero. Recovered credit is found cash, so this reads directly to working capital.

Reconciliation accuracy and exceptions cleared — Percent of accounts reconciled clean and exceptions resolved within the period.
Improvement and Compliance

Automation initiatives delivered per quarter — Count of AP, close, or reconciliation automations shipped each quarter.

Sales tax on purchases accuracy — Percent of taxable purchases correctly taxed, with exemption certificates current. Phased in as this scope transitions from the Senior Controller.
Qualifications
Must-Haves:

3+ years progressive accounting or finance experience.
-
ERP experience required; NetSuite strongly preferred.

General ledger management and reconciliation.

AP processing and vendor relationship management.
-
Process improvement mindset; comfort with AI and automation tools.

Strong organization, accuracy, and follow-through.

Clear written and verbal communication.

Demonstrated capacity to grow scope — sales tax on purchases and inventory and COGS reconciliation support are developable within the first 12 months.
Nice-To-Haves:

CPA, progress toward it, or a comparable accounting credential.

Experience in a distribution, value-added reseller, or inventory-carrying business.

Development Path
This is a growth role. Within 12 months, the Accounting Operations Specialist will drive at least two automation initiatives within NetSuite, serve as the process owner for the AP/GL-side close cycle, and grow into supporting inventory and COGS reconciliation under the Senior Controller. Ongoing development is supported through NetSuite certifications, reconciliation training, and direct mentorship from the Senior Controller.
