Clinic Operations Coordinator; Nurse- Hybrid

Pay: $25/hr (based on experience)

Job Type: Part-time (20-25 hours/week); Hybrid

Job Description

This is NOT an entry-level receptionist position. We are looking for someone who can build relationships with prospective patients, manage technology systems (including GoHighLevel and Cerbo), improve workflows, solve problems independently, and become an essential part of growing our functional medicine practice.

A Balanced You (ABY) Hormones and Wellness is a functional medicine practice owned and operated by a single provider.

ABY is looking for a highly organized, proactive, able to envision smoother workflows Clinical Operations Coordinator/Manager

What You'll Do:

Patient Care & Communication

Answer incoming calls with warmth and professionalism
Schedule and coordinate patient appointments
Respond to patient portal messages, emails, and texts
Welcome patients and provide an exceptional experience
Coordinate specialty testing and follow-up appointments
Maintain accurate patient records and documentation
Build rapport and answer questions about our services
Oversee patient membership contracts and documentation
Support patient retention and satisfaction

Administrative & Office Management/Operations Task

Identify gaps and improve workflows
Conduct patient discovery calls (sales) - determine if right fit for practice
Responsible for converting leads from Discovery Call to Initial consult
Follow up with prospective patients when appropriate
Coordinate specialty lab testing and kit distribution
Track supplement, office, and testing inventory
Assist with workflow improvements and office organization
Maintain HIPAA compliance and patient confidentialityTechnology & Systems

We're a technology-driven practice. The ideal candidate enjoys learning new systems and finding more efficient ways to work.

Experience with the following is strongly preferred:

GoHighLevel (CRM, pipelines, workflows, calendars, communications)
Cerbo EMR
Google Workspace (Docs, Drive, Sheets, Calendar)
Canva
Microsoft Office
AI tools such as ChatGPT

Marketing & Growth (Preferred)

Assist with Canva graphics
Help with social media content
Create patient education materials
Support community events and workshops

Qualifications

Preferred:

Minimum and recent- 2 years of medical office, patient coordinator, or administrative experience
Strong customer service and communication skills
Sales experience (able to convert discovery calls into initial consults)
Medical experience (BIG PLUS) to help answer patient messages
Excellent organizational and time-management skills
Comfortable learning new software and technology
Able to work from home, undistracted.
Able to work variable hours; 15-25 hours/week

Strongly Preferred:

GoHighLevel experience
Cerbo EMR experience
Functional or integrative medicine experience
Sales or discovery call experience
Canva and social media experience
