Job Summary

We are seeking an energetic and detail-oriented Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your proactive approach and excellent communication skills will help create a positive experience for clients, visitors, and team members alike. Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle data entry tasks with accuracy using productivity software such as Microsoft Office, spreadsheets, and Google Workspace
Maintain organized filing systems, including document management and record keeping for client information and office supplies
Support appointment scheduling and calendar management for staff using digital tools, ensuring timely follow-up
Assist with office management duties such as inventory control, ordering supplies, and basic bookkeeping using QuickBooks or similar software
Provide customer support by answering inquiries, providing information about services, and resolving issues promptly

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry tasks
Technical proficiency with computer literacy including familiarity with productivity software and office equipment
Excellent communication skills both in person and over the phone; bilingual ability is a plus
Experience with multi-line phone systems, clerical tasks, filing, proofreading, and calendar management
Strong customer service orientation with professional phone etiquette and client communication skills
Ability to manage time effectively in a fast-paced environment while maintaining accuracy in all tasks
Previous experience as a receptionist or personal assistant is preferred; familiarity with medical or dental reception is a bonus
Knowledge of bookkeeping processes such as invoicing or QuickBooks is advantageous
