Full Job Description

Office Manager – Pool Construction & Service Operations

We are one of Northern New Jersey's leading swimming pool construction and service companies. We specialize in luxury custom pool construction while providing year-round maintenance, renovations, repairs, and service to hundreds of residential clients.

We are seeking an experienced Office Manager to oversee the daily operations of both our construction and service departments. This is a key leadership role requiring exceptional organizational skills, strong communication, and extensive experience with industry-specific software.

This is not an entry-level administrative position. We are looking for someone who can step in, take ownership, and keep a busy office running efficiently.

Responsibilities

Manage the daily operations of the office
Oversee scheduling and dispatching for the pool service department
Coordinate construction projects from contract through completion
Manage customer communication for both service and construction clients
Schedule technicians, construction crews, inspections, deliveries, and subcontractors
Track work orders, service calls, project progress, and production schedules
Process invoices, customer payments, vendor bills, and purchase orders
Maintain accurate bookkeeping using QuickBooks Online
Manage project workflows and documentation within JobTread
Maintain customer records and scheduling within Pool Office Manager
Coordinate permits, contracts, change orders, and project documentation
Assist with payroll, collections, and accounts receivable
Help improve office systems and operational efficiency

Required Qualifications

Applicants must have:

Expert-level experience with QuickBooks Online
Strong working knowledge of JobTread
Strong working knowledge of Pool Office Manager
At least 3 years of office management or operations management experience
Experience in the swimming pool, construction, or home service industry
Excellent customer service and communication skills
Outstanding organizational and multitasking abilities
Ability to prioritize multiple projects in a fast-paced environment
High attention to detail and accuracy
Strong computer skills and ability to learn new software quickly

Preferred Qualifications

Pool construction experience
Pool service scheduling and dispatch experience
Construction job costing
Accounts receivable and collections
Vendor and subcontractor coordination
Experience managing field operations
