Position Summary

We are seeking a highly organized, enthusiastic, and customer-focused Event Coordinator to join our team. The ideal candidate will be responsible for planning, coordinating, and executing a wide variety of events while delivering exceptional customer service from the initial consultation through the successful completion of each event. This role requires excellent communication skills, attention to detail, multitasking abilities, and a passion for creating memorable experiences.

Responsibilities

Meet with clients to discuss event vision, needs, budgets, and timelines.
Plan and coordinate weddings, wedding rehearsals, receptions, birthday parties, baby showers, bridal showers, family reunions, anniversaries, corporate events, holiday parties, and other special occasions.
Create event timelines, layouts, and detailed planning schedules.
Coordinate with vendors, caterers, decorators, DJs, photographers, florists, and other event professionals.
Conduct venue tours and assist prospective clients with booking events.
Manage event setup, execution, and breakdown to ensure every detail meets company standards.
Maintain consistent communication with clients throughout the planning process.
Resolve any issues or last-minute changes professionally and efficiently.
Ensure all contracts, deposits, payments, and event documentation are completed accurately.
Oversee staff and vendors during events to ensure smooth operations.
Maintain a clean, organized, and welcoming event environment.
Build lasting relationships with clients to encourage repeat business and referrals.

Qualifications

Previous experience in event planning, hospitality, customer service, or venue management preferred.
Excellent organizational and time management skills.
Strong verbal and written communication abilities.
Ability to manage multiple events and deadlines simultaneously.
Professional appearance and positive attitude.
Strong problem-solving and decision-making skills.
Ability to work independently and as part of a team.
Proficiency with Microsoft Office, Google Workspace, and event management software is a plus.
Availability to work evenings, weekends, and holidays as required by event schedules.

Wedding and special event planning experience.
Sales and client relationship management.
Budget management and vendor negotiations.
Creative eye for event design and décor.
Ability to remain calm and professional in fast-paced environments.
