We are seeking a detail-oriented, proactive, and strategic professional to dual-role as our Finance Manager and Patient Coordinator.
Position Overview
In this dual role, you will serve as the backbone of both our daily operations and our broader financial growth. You will act as the primary point of contact for families entering our practice, ensuring a seamless onboarding experience, while simultaneously managing the entire financial lifecycle—from therapist credentialing and payer contract negotiations to accounts payable and daily revenue health. The ideal candidate is a healthcare administration powerhouse with a strong analytical mind and deep experience navigating pediatric therapy insurance networks.
The Valuable Final Product for this position is a seamlessly integrated financial and patient onboarding pipeline. Success in this role means ensuring that 100% of patient families experience a warm, smooth entry into our care, while simultaneously maintaining a robust, leak-free revenue cycle. You will achieve this through meticulously managed insurance contracts, fully credentialed therapists, up-to-date authorizations, and highly organized accounts payable.
Key Responsibilities
Payer Contracts & Provider Credentialing
- Research, identify, and successfully secure new insurance contracts to expand the practice's provider network.
- Lead contract negotiations and periodic fee schedule renegotiations with commercial insurance payers and Medicaid.
- Manage the end-to-end credentialing and re-credentialing process for all therapists (Speech, OT, and ABA) with insurance panels and CAQH to ensure timely billing eligibility.
Financial Management & Accounts Payable
- Oversee accounts payable (A/R) processes, managing clinic expenses, vendor invoices, and timely bill payments.
- Manage patient collections, including processing copays, co-insurance, past-due balances, and private pay billing.
- Utilize EMR reporting tools to track key financial metrics, accounts receivable (A/R), and billing trends.
- Analyze financial reports regularly to optimize revenue cycles, manage overhead, and maintain the excellent financial health of the practice.
Insurance & Authorization Management
- Perform comprehensive insurance eligibility verifications for commercial plans and Medicaid prior to the start of services.
- Obtain, track, and renew prior authorizations for all three disciplines to ensure uninterrupted care.
- Communicate complex insurance benefits, copays, deductibles, and authorization limitations clearly to families.
Patient Coordination & Intake
- Manage and optimize client waiting lists for Speech, OT, and ABA services, efficiently matching open clinician slots with waiting families.
- Guide new families through the intake process, answering questions about scheduling, services, and practice policies.
- Accurately input and maintain detailed patient demographics and clinical records within our Electronic Medical Record (EMR) system.
Qualifications
- Experience: Minimum of 3–5 years of experience in healthcare administration, insurance contracting, or medical practice management. Prior experience specifically handling pediatric therapy or ABA billing/contracting is highly preferred.
- Contracting Expertise: Proven track record of successfully negotiating payer contracts and managing provider credentialing (CAQH experience required).
- Financial Skills: Strong foundation in accounts payable, patient collections, and analyzing financial data/revenue cycles.
- Software Skills: Proficiency with Electronic Medical Record (EMR) systems (e.g., Raintree) and advanced data reporting features.
- Attributes: Exceptional organizational abilities, sharp strategic thinking, and a warm, empathetic demeanor when communicating with families.
