Full Job Description

Business Accounting Manager

Job Summary:

The Business Accounting Manager will oversee and execute all financial operations of Holy Cross Catholic High School and The Way Retreat Center. This position ensures financial accuracy, integrity, and alignment across both entities, combining strategic leadership with hands-on accounting duties. The role requires deep technical expertise, team supervision, and the ability to interpret and present financial information to both internal and external stakeholders.

Reports to: Head of School, Holy Cross treasurer (and/or its Finance Committee) and the The Way treasurer (and/or its Finance Committee).

Worksites: Holy Cross Catholic High School & The Way Retreat Center

Employment Type: Full-Time | Exempt

Duties and Responsibilities

The Business Accounting Manager will oversee all financial operations of Holy Cross Catholic High School and The Way Retreat Center, ensuring financial integrity, transparency, and alignment with the mission and goals of both institutions. The responsibilities include but are not limited to:

1. Financial Oversight & Reporting

Manage all accounting functions including general ledger, accounts payable, accounts receivable, payroll, and bank reconciliations in QuickBooks.
Prepare monthly, quarterly, and annual financial statements for leadership and board review in Quickbooks.
Post journal entries to the general ledger.
Analyze variances between actuals and budgeted forecasts and offer data-informed recommendations.
Generate summary reports and financial analysis for review by leadership, board, or auditors.
Manage the FACTS system - including but not limited to payment plans, agreements, financial aid, student payments to extra curricular activities, and lunch orders.

2. Budget Management

Lead the creation and management of annual budgets for both entities.
Collaborate with department heads to track expenditures and ensure fiscal responsibility.
Maintain accurate forecasting and cash flow analysis to support organizational planning.

3. Compliance and Auditing

Ensure compliance with applicable federal, state, and local regulations, including nonprofit financial reporting standards.
Coordinate and manage annual audits, working with external auditors and ensuring timely and accurate documentation.
Maintain records in accordance with best practices for nonprofit and business accounting.
Proof accounting reports for clerical accuracy.

4. Payroll and Benefits

Oversee payroll processing, ensuring accuracy and timely submission.
Manage employee benefit programs and ensure proper deductions and reporting.
Allocate expenditures to correct accounts in accordance with internal procedures.

5. Financial Systems and Controls

Implement and maintain robust internal controls to safeguard assets and ensure accurate financial reporting.
Maintain and update accounting software and systems to support operational efficiency.
Supervise and train clerical or accounting support personnel as needed.

6. Strategic Leadership and Collaboration

Serve as a financial advisor to the Head of School/Executive Director, offering insight into key financial decisions related to Holy Cross Catholic High School and The Way Retreat Center.
Liaise with board finance committees, presenting financial updates and responding to inquiries.
Collaborate with development, facilities, operations, and programming staff to align financial planning with organizational priorities.

7. Dual Entity Management

Create clear allocation and reporting structures to support transparent tracking of shared services between HCCHS and TWRC.
Support grant reporting, event budgeting, and earned income strategies unique to each entity.
Other school / organizational duties.

8. Systems and Software

Manage and maintain accounting and financial management software (QuickBooks or equivalent).
Proficiently use Excel and other reporting tools to model financial outcomes.
Troubleshoot and improve spreadsheet systems for financial tracking and reporting.

QualificationsEducation and Certification

Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
CPA designation or equivalent strongly preferred.

Experience

Minimum of 5 years of progressive experience in accounting or finance roles, preferably with experience in nonprofit and for-profit sectors.
Experience managing multiple budgets over $500,000 and/or overseeing financial operations for multi-department or dual-entity organizations.
Knowledge of nonprofit finance or dual-entity oversight is strongly preferred.
Related business school or college coursework may be considered in lieu of some experience.

Skills and Competencies

Strong knowledge of GAAP, nonprofit accounting principles, and regulatory compliance.
Thorough understanding of bookkeeping practices and ability to train others.
Exceptional organizational and analytical skills, with attention to detail and a proactive mindset.
Ability to manage multiple projects simultaneously and meet deadlines.
Strong written and verbal communication skills; able to communicate financial information clearly to non-financial stakeholders.
Ability to follow verbal and written instructions.
Ability to work under pressure and meet deadlines with minimal supervision.
Typing proficiency of at least 40 words per minute.
Proficient in Microsoft Office Suite (especially Excel) and accounting software (QuickBooks, Sage, etc.)
