Job Description:

InGenesis is currently seeking an Executive Assistant to work with our client. In this role, you will provide independent assistance to the Sr. Vice President of Land and executive management of the UL Land Team. You will be responsible for handling complex and confidential assignments, demonstrating a thorough understanding of departmental and company operations, and performing a variety of advanced administrative and executive support functions.

Essential Functions:

Responsible for performing tactical and strategic administrative support tasks for SVP Land.
Coordinate complicated travel for SVP Land and Land Team.
Administer detailed travel reimbursements in UTS accounting platform (Concur).
Responsible for heavy calendar management, including the coordination of management meetings, calendar invites, room scheduling, and scheduling conference calls.
Plan and coordinate details and logistics of offsite management retreats and other offsite meetings.
Coordinate with department managers to plan and schedule office activities and social events.
Participate in meetings as requested by the SVP of Land to take minutes and document follow up actions.
Prepare personal correspondence email and letters for SVP of Land or Land leadership.
Establish and maintain strong working relationships with members of the executive leadership team and other administrative professionals.
Organize, prepare, file and manage complex documents using a variety of applications, such as standard office software.
Gather and analyze data and prepare complex reports, agendas, minutes of meetings, and tailored letters and emails for approval by executives and senior employees.
Draft, proofread, redact, and revise documents such as contracts, memorandum, and correspondence.
Manage and track actions and outcomes.
Manage communication with external parties, including executives, board members, and industry leaders.
Facilitate and participate in various meetings, regularly preparing minutes and tracking action items.
Initiate contact internally and externally on a regular basis to convey requests, provide instructions, or obtain information on behalf of a senior colleague.
Perform other duties as assigned.

Minimum Qualifications:

Bachelor’s degree and 4 years of administrative experience, OR
Associates degree and 6 years of administrative experience, OR
High School diploma or GED and 8 years of administrative experience
Excellent written and verbal communication skills.
Knowledge of Microsoft Office programs.

Preferred Qualifications:

Experience supporting executives.
Expertise in use of standard software applications such as Outlook, Excel, PowerPoint, Microsoft Word
