Job Overview
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring our office runs smoothly and efficiently. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, manage daily office operations, and provide essential clerical support to various departments. This paid position offers a fantastic opportunity to develop your office management skills in a professional environment.

Responsibilities

Greet visitors warmly and professionally, directing them appropriately
Manage multi-line phone systems with courteous phone etiquette, screening and transferring calls efficiently
Maintain a clean and organized front desk area, ensuring a welcoming atmosphere
Handle data entry, filing, and document proofreading to support office operations
Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
Assist with basic bookkeeping tasks using QuickBooks or similar software when needed
Support administrative tasks such as photocopying, faxing, and preparing correspondence
Provide excellent customer service by addressing inquiries promptly and professionally
Maintain accurate records of incoming and outgoing correspondence, appointments, and visitor logs

Requirements

Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
Familiarity with multi-line phone systems and excellent phone etiquette skills
Bilingual abilities are highly desirable to serve diverse client needs effectively
Exceptional organizational skills with the ability to prioritize tasks efficiently
Previous experience with data entry, filing, proofreading, and customer support is preferred
Knowledge of QuickBooks or bookkeeping experience is a plus
Strong time management skills with the ability to handle multiple responsibilities simultaneously
Personal assistant or medical/dental receptionist experience is advantageous but not required
