Job Description – Coordinator of Facility Services
Reports to: Director of Facilities
Will Provide daily supervision and coordination of all District maintenance staff and services. This individual will, under the direction of the Director of Facilities, coordinate all activities of the District maintenance staff personnel and the maintenance administrative assistant. Manage operation of District mechanical / electrical systems to provide reliability, comfort, safety and efficiency.
- Must be capable of reading, writing, following direction and verbally communicate in the English language.
- Be a self-starting individual who can function effectively in a cooperative manner with other staff. Experience working in and around educational environments is preferred.
- Must work effectively with people and provide leadership and training for continuous improvement.
- Must have effective verbal and written communication skills; be proficient with use of mathematical functions, use of email, internet applications and software applications including Microsoft Office. Individual must possess competent use of multiple forms of technology for effective performance of duties.
- Must have prior experience demonstrating effective organization and implementation of action plans to complete varied assignments as they develop.
- This individual shall possess the personal characteristics, which enable them to maintain a pleasant and courteous atmosphere when dealing with the public, employees and students.
- Ability to be available to work additional hours as special needs or emergencies emerges throughout the District.
- Must possess knowledge of general buildings and grounds care, repair and maintenance techniques.
- Must attend training and secure proper licensing for pesticide use, application and supervise others in applying products.
- Prefer knowledge and familiarity with data networks and their use for building operation purposes.
- Prefer advanced experience working with HVAC systems, controls and technologies.
- Thinks analytically and independently to troubleshoot and direct maintenance, modification and repair of heating, ventilation, air conditioning, refrigeration systems and control components. Generates sequences of operation for various HVAC components. Troubleshoots, analyzes, modifies and enhances EMS computer programs and schedules. Familiarity with networks, various software and communications protocol including BACnet and LONworks.
- Has keyboard proficiency and uses personal computers, hardware and software related to data collection, operation of HVAC equipment and maintenance functions.
- Reads and comprehends owner and operating manuals, schematics, plans and blueprints.

While performing the duties of this job, the employee is regularly exposed to moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, outside weather conditions and vibration. The employee is occasionally exposed to high precarious places and risk of electrical shock. The noise level in the work environment is occasionally loud.
While performing the duties of this job, the employee is regularly required to compare, analyze, communicate, copy, coordinate, instruct, compute, evaluate, use interpersonal skills, compile and negotiate.
- Maintain appropriate inventory levels of all maintenance supplies and equipment to ensure efficient operation. Inventory and assess condition of maintenance equipment in District. Track supply and equipment costs relating to maintenance functions and make recommendations. Review and approve invoices and requisitions for all maintenance supplies and equipment. Track district assets related to maintenance and operating systems.
- Assure proper housekeeping of all maintenance/warehouse areas.
- Assure maintenance/warehouse areas are secure at close of each day.
- Coordinate all ground maintenance activities between maintenance and custodial staffs. Work in cooperation with principals and High School Assistant Principal for Building, Grounds, Instruction, Computer and Finance to ensure grounds are cared for appropriately.
- Assume responsibility for the comprehensive, overall planning and scheduling of maintenance and repair requirements of the District.
- Coordinate, establish priorities and assign all maintenance work requests to be completed by maintenance staff or assist with securing contractor services as required to meet District service needs.
- Oversee and direct District snow removal operations and evaluate for appropriateness.
- Respond to facility related emergencies as necessary.
- Monitor District safety issues as they relate to maintenance operations, staff and public. Correct or report conditions requiring attention.
- Evaluate District needs and existing maintenance positions to determine appropriateness, effectiveness and sufficiency in meeting the District’s program needs. Make recommendations as appropriate. Be responsible for the formal staff evaluation process for maintenance staff and maintenance administrative assistant. The evaluation process will recognize achievements and outline appropriate corrective action, as necessary to achieve desired results.
- Ability to present and maintain a pleasant and courteous approach when dealing with the public, employees and students. Develop and encourage a customer-based approach for maintenance services.
- Review and approve maintenance department payroll information. Review needs for and assist in arranging and accounting for maintenance staff overtime as required. Assure it is provided to payroll in a timely and complete manner.
- Be familiar with the proper operation of mechanical/electrical equipment and make periodic checks of systems throughout the District to determine proper and efficient operation. Assist the Director of Facilities in managing/reducing District energy consumption by establishing and executing proper maintenance procedures; identifying proper control strategies; scheduling and managing the operation and set points of mechanical equipment to ensure comfort and efficiency.
- Assist in assuring that District facilities and all related grounds and equipment are maintained appropriately at all times. Inspect all District buildings and grounds on a regular basis to determine that high standards of workmanship, safety and security are maintained. Prepare recommendations where improvement is needed.
- Recommend or provide appropriate training for facilities staff development and implement appropriate technologies.
- Identify items or projects and related costs for District facilities needs and assist in creating and managing related budgets.
- Meet with building principals to review building maintenance needs. Identify improvement projects, which should be considered.
- Implement a system of documenting activities of the District’s maintenance staff and prepare reports documenting and highlighting accomplishments or concerns of the facilities department. Conduct a continuing analysis of systems and procedures.
- Have appropriate training and licensing for understanding pesticide use and application and supervise applications provided by District staff or contractors.
- Assist in planning, evaluating and implementing facility improvement projects. Prepare basic plans and specifications as necessary.
- Identify, interview and recommend candidates to be hired for the District’s maintenance staff.
- Upgrade skills as needed to meet changing job conditions and technological advances.
- Perform other duties for which the employee is qualified as may be assigned by the Director of Facilities.
All qualifications are considered essential to fulfill the requirements for the position of the Coordinator of Facility Services.
Pay: $90,000.00 - $110,000.00 per year
