Office Manager

Rocky Mountain Emergency Vehicles – West Valley City, UT

About Us

Rocky Mountain Emergency Vehicles is the exclusive dealer for Wheeled Coach and FR Conversions ambulances across multiple western states. We provide new ambulance sales, service, parts, warranty support, and vehicle upfitting for EMS agencies throughout the region. We are looking for a versatile team member who enjoys office administration, organization, and supporting a wide variety of dealership operations.

Position Overview

This position supports the daily administrative and operational functions of the dealership, including office management, customer support, inventory coordination, scheduling, and project administration. The role works closely with leadership, customers, vendors, and technicians to ensure efficient operations, excellent customer service, and successful project execution.

The ideal candidate is organized, detail-oriented, self-motivated, and capable of managing multiple priorities in a fast-paced environment. This individual must be comfortable working independently, taking initiative, and staying productive with minimal supervision while also contributing to a positive team culture and supporting a variety of business functions.

Key Responsibilities

Administrative & Office Support

Provide front-desk support, including answering and directing incoming phone calls and emails, greeting visitors, handling mail and shipments, and maintaining a professional office environment.
Provide administrative support to senior leadership, including scheduling, preparing correspondence, emails, spreadsheets, forms, and other business documents.
Coordinate internal and external resources to keep projects on schedule and ensure timely communication and follow-up.
Plan, organize, and schedule meetings, both in-person and virtual, and assist with company events and trade shows.
Arrange domestic and international travel accommodations for employees as needed.
Maintain accurate vehicle records, registrations, warranty documentation, customer files, office records, and inventory systems.
Prepare sales packets, delivery documents, customer correspondence, and other dealership-related materials.
Assist with bookkeeping and administrative functions, including data entry, invoicing, expense tracking, account reconciliation, and general office administration.
Coordinate general business logistics, including vehicle movements, vendor communication, delivery schedules, and operational support activities.

Ambulance Upfitting & Production Support

Coordinate ambulance upfit projects, including customer-specified equipment and accessory installations.
Coordinate vehicle graphics, radios, lighting, sirens, camera systems, and other emergency vehicle components with vendors and technicians.
Perform quality control inspections to verify completed work meets customer specifications.
Assist with vehicle check-in, delivery preparation, and final inspections.
Coordinate and track upfit schedules to ensure projects stay on time and within budget.
Maintain accurate records of equipment installations and project progress.
Assist with warranty claims and documentation related to installed equipment.

Parts & Inventory Management

Manage ambulance parts inventory, including receiving, stocking, and organizing inventory.
Process parts orders and coordinate shipments to customers.
Monitor inventory levels and reorder stock as needed.
Work with vendors and manufacturers to source parts and equipment.
Maintain a clean and organized parts storage area.

Required Qualifications

High school diploma or equivalent.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Comfortable working in both office and light warehouse/shop environments.
Ability to learn dealership operations, inventory systems, and ambulance products.
Proficient with Microsoft Office and general computer software.
Ability to lift up to 25 pounds and perform occasional physical work related to inventory handling and vehicle preparation.
Valid driver's license with a clean driving record.
