Full Job Description

Reservations & Events Manager

Hotel Pontotoc is seeking an energetic, highly organized Reservations & Events Manager to oversee hotel room reservations and the planning, sales, and execution of weddings, receptions, corporate gatherings, and private events.

This position serves as a primary point of contact for hotel guests and event clients, managing the experience from initial inquiry through departure or event completion. The ideal candidate has strong sales instincts, exceptional attention to detail, and the ability to manage multiple reservations and events while delivering personalized hospitality.

The Reservations & Events Manager will work directly with the General Manager to grow room and event revenue, develop client relationships, coordinate vendors, and ensure every guest and event reflects Hotel Pontotoc’s service standards.

Event sales commission opportunities are available for confirmed weddings, receptions, private events, and group bookings, rewarding successful lead conversion and revenue growth.

Responsibilities

Manage hotel reservations, including inquiries, bookings, confirmations, modifications, cancellations, special requests, room blocks, and guest communications.
Serve as a primary sales contact for weddings, receptions, rehearsal dinners, corporate gatherings, and private events.
Respond to event inquiries, conduct property tours, prepare proposals, negotiate agreements, and convert qualified leads into confirmed bookings.
Coordinate events from initial inquiry through execution, including timelines, floor plans, vendors, food and beverage selections, entertainment, staffing, and guest accommodations.
Manage wedding and event room blocks, group reservations, VIP accommodations, and special requests.
Maintain consistent client communication and conduct final meetings to confirm timelines, guest counts, menus, layouts, and service expectations.
Increase revenue through room upgrades, food and beverage packages, additional event spaces, entertainment, décor, and other services.
Develop relationships with wedding planners, corporate clients, local businesses, vendors, and hospitality partners to generate new and repeat business.
Assist with marketing initiatives, venue listings, promotional campaigns, and community partnerships to increase hotel reservations and event inquiries.
Create and maintain BEOs, contracts, payment schedules, event calendars, rooming lists, and client documentation.
Coordinate with hotel operations, housekeeping, culinary teams, service staff, entertainment, and outside vendors to ensure seamless execution.
Monitor deposits, minimum spends, payment schedules, event budgets, vendor expenses, and final billing.
Provide hands-on leadership during weddings, receptions, and private events while addressing guest and client concerns promptly and professionally.
Conduct post-event follow-up to encourage repeat business, referrals, reviews, and future bookings.
Ensure compliance with Hotel Pontotoc policies, contracts, safety standards, alcohol service requirements, and applicable regulations.

Qualifications

Experience in hotel reservations, event sales, wedding coordination, catering sales, banquet operations, hospitality management, or a related field.
Strong sales ability with experience converting inquiries into bookings and identifying revenue opportunities.
Exceptional organizational skills with the ability to manage reservations, room blocks, and multiple events simultaneously.
Excellent written and verbal communication skills with a professional, guest-focused approach.
Experience managing event contracts, deposits, budgets, vendors, and final billing.
Understanding of weddings, private events, hotel operations, and food and beverage service.
Proficiency with reservation systems, event management software, CRM platforms, Microsoft Office, and digital communication tools.
Experience with Cloudbeds or similar property management systems is preferred.
Availability to work evenings, weekends, and holidays based on hotel occupancy and event schedules.
