Job Posting: Office Coordinator – Outpatient Mental Health Program

Location: In Person
Job Type: Full-Time

Position Overview Our outpatient mental health program is seeking a highly organized, professional, and compassionate Office Coordinator / Clinician to support daily administrative operations, ensure a welcoming environment for clients, and provide direct clinical services. The Office Coordinator / Clinician plays a critical role in supporting licensed clinicians (LCSW, LPC, LMFT and associate-level providers) by maintaining smooth front-office operations, managing client communication, overseeing administrative systems, and maintaining a caseload of clients. This position reports directly to the Clinical Director. The ideal candidate thrives in a fast-paced healthcare setting, maintains strict confidentiality, and demonstrates strong organizational, clinical, and communication skills.

Key Responsibilities

Clinical Services

Provide direct outpatient clinical therapy services to a designated caseload of clients
Complete clinical assessments, individualized treatment plans, and timely documentation in accordance with state and ethical standards
Participate in clinical supervision and team case consultations as required

Client & Front Office Support

Greet and check in clients in a professional and welcoming manner
Answer and direct phone calls
Schedule, confirm, and reschedule appointments
Manage clinician calendars
Collect and process client forms and documentation
Maintain confidentiality in compliance with HIPAA regulations

Administrative & Operational Duties

Maintain electronic medical records (EMR) system
Ensure client files are complete and compliant
Verify insurance benefits and assist with billing coordination
Process payments and maintain accurate financial records
Support onboarding of new clients and staff
Maintain office supplies and coordinate facility needs
Assist the Clinical Director with reporting, documentation, and operational needs

Team Support

Provide administrative support to clinical staff
Coordinate staff meetings and trainings
Assist with preparation of materials for in-service trainings
Help maintain compliance with state and organizational standards

Qualifications

Master’s degree in Social Work, Counseling, Marriage & Family Therapy, or related behavioral health field required
Active clinical license or associate-level license (e.g., LSW, LAC, LCSW, LPC, LMFT) required to provide direct client care
Experience in a medical or mental health office setting preferred
Experience with EMR systems strongly preferred
Knowledge of insurance verification and billing processes preferred
Strong organizational and multitasking skills
Professional communication skills (written and verbal)
Ability to maintain confidentiality and professionalism at all times

Strong time management skills to balance administrative duties and clinical sessions
Customer-service oriented
Ability to work independently and collaboratively
Comfortable working in a behavioral health environment

Compensation Hourly rate based on experience. Please submit hourly rate requirements with application.
