Patient Care Coordinator | Sales & Community Relations

Zinovations Aesthetics & Longevity Medicine
Milton, Georgia

This Is NOT a Receptionist Position

If you're looking for a job where you'll simply answer phones and schedule appointments, this isn't the position for you.

At Zinovations Aesthetics & Longevity Medicine, we're redefining aesthetics through regenerative medicine, advanced laser technology, hormone optimization, and personalized longevity care. We are a concierge practice dedicated to helping our patients age healthier, feel stronger, and look naturally refreshed.

We're seeking a polished, energetic, sales-minded professional who understands that exceptional patient care and business growth go hand in hand.

As our Patient Care Coordinator, you will be much more than the first impression of our practice—you will be a trusted guide for our patients and one of the most important revenue-generating members of our team.

If you're passionate about building relationships, following up with leads, educating patients, discussing treatment plans and financial options, and helping people confidently move forward with their care, we'd love to meet you.

Schedule

This position begins part-time with the opportunity to transition into a full-time leadership role as our practice continues to grow.

Schedule includes:

Mondays
Tuesday
Thursdays
Fridays
One Saturday per month

Required Qualifications

Minimum 2 years of proven sales experience
Experience converting leads into paying clients
Experience following up with consultations and nurturing prospective patients
Confidence discussing treatment investments, financing, memberships, and payment options
Excellent communication, customer service, and relationship-building skills
Strong organizational and time-management skills
Experience using CRM or patient management software
A polished, professional appearance
A concierge-level customer service mindset

Preferred Experience

Medical aesthetics
Plastic surgery
Cosmetic dentistry
Medical practices
Wellness or longevity medicine
Luxury hospitality
High-end retail or concierge sales

Bilingual (English/Spanish) is a plus.

Primary Responsibilities

Sales & Patient Conversion

Your primary responsibility is helping prospective patients become lifelong patients.

Responsibilities include:

Respond promptly to all new patient inquiries
Manage every lead from initial contact through treatment completion
Build trust through education and exceptional communication
Follow up consistently with consultations and prospective patients
Present treatment plans confidently and professionally
Discuss pricing, financing options, memberships, and treatment packages
Help patients make informed decisions about their care
Meet monthly production and conversion goals
Track patient communication within our CRM
Maintain excellent documentation and follow-up systems

Concierge Patient Experience

Welcome every patient with warmth and professionalism
Deliver an exceptional luxury patient experience
Coordinate appointments efficiently
Confirm appointments and minimize cancellations
Educate patients on treatment expectations and aftercare
Build lasting patient relationships
Encourage referrals and patient retention
Ensure every patient feels valued and cared for throughout their journey

Community Relations & Marketing

Represent Zinovations professionally within the community
Build relationships with physicians, fitness studios, country clubs, wellness providers, and local businesses
Participate in networking events, workshops, and open houses
Assist with patient appreciation events
Support social media by capturing photos, videos, and patient success stories when appropriate
Help strengthen the Zinovations brand through community engagement

Performance Expectations

This is a performance-driven position.

Success is measured through Key Performance Indicators (KPIs), including:

Lead response time
Lead follow-up consistency
Consultation-to-treatment conversion rate
Monthly production goals
Membership enrollments and renewals
Treatment package conversions
Patient retention and rebooking
Appointment confirmation and reduction of no-shows
CRM accuracy and documentation
Patient satisfaction and concierge-level service

You'll receive ongoing coaching, support, and regular performance reviews. We believe accountability, consistency, and exceptional patient care are essential to success.

Compensation & Benefits

Starting Pay: $26.00 per hour (based on experience)

Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight up to 30 lbs; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information; and see in the normal visual and hearing ranges with or without correction.
