Buckhorn Ridge llc is a growing excavation contractor serving Northeast, Pennsylvania, New Jersey, and Maryland. We're looking for an exceptionally organized, proactive Operations & Office Coordinator who enjoys taking ownership, solving problems, and keeping a business running smoothly behind the scenes.
This is not a position where you'll be handed a checklist every day. We're looking for someone who naturally sees what needs to be done and gets it done.

What You'll Be Doing
Your responsibilities will continue to grow as the company grows, but initially they'll include:
- Answering phones and communicating with customers
- Conducting preliminary phone interviews with job applicants
- Managing paperwork and keeping company records organized
- Coordinating permits and municipal paperwork
- Contacting 811 to schedule utility locates before excavation begins
- Assisting with job costing and project tracking
- Following up with customers and subcontractors
- Cold calling contractors, builders, municipalities, and other companies to help generate additional work
- Helping improve office systems and organization
- Supporting the owner with day-to-day administrative tasks
- Taking on additional responsibilities as your role grows

Preferred Qualifications

- Degree or coursework in Business Administration
- Experience working with contractors, construction companies, or trades
- Bookkeeping or job costing experience
- CRM or project management software experience

Duties
- Manage and coordinate office activities, including scheduling meetings, appointments, and events to optimize team productivity.
- Supervise administrative staff, providing training, guidance, and support to ensure high performance and professional development.
- Oversee vendor relationships, negotiate contracts, and manage procurement processes using tools like QuickBooks and other financial software.
- Handle human resources functions such as onboarding new employees, maintaining confidential personnel records, and supporting payroll processing.
- Maintain accurate bookkeeping records through diligent bookkeeping practices and accounting software to ensure financial accuracy.
- Organize and manage office supplies inventory, filing systems, and multi-line phone systems to keep operations running seamlessly.
- Facilitate effective communication with clients and internal teams via email, phone etiquette, and client communication protocols while managing calendars with precision.
- Plan and coordinate company events or meetings with attention to detail in event planning and logistics management.
- Ensure compliance with confidentiality standards when handling sensitive information related to finance or personnel matters.
- Support office management tasks including maintaining filing systems, managing office equipment, and ensuring a professional work environment.
Experience
- Proven experience in office administration or management roles with a strong background in clerical tasks and customer service.
- Supervising experience demonstrating team management skills and the ability to train staff effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and reporting purposes.
- Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and basic accounting is essential.
- Experience using financial software for payroll processing and vendor management is highly desirable.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent communication skills—both verbal and written—with an emphasis on phone etiquette and client interaction.
- Technical proficiency in managing multi-line phone systems, calendar management tools, and office management software.
- Demonstrated ability to handle confidential information responsibly while maintaining professionalism at all times.
