Full Job Description

Job Overview

The Administration Supervisor is responsible for supervising and performing administrative, personnel, scheduling, and food service accounting functions in support of the subcontracted team. This position monitors, coordinates, verifies, and compiles daily meal entitlement and financial documentation in accordance with contractual requirements, organizational policies, and the NAVSUP P-486.

The Administration Supervisor ensures that meal entitlement information entered by cashiers into Enabler card terminals is accurate, supporting documentation is complete, cash collections are verified, and required information is entered or downloaded into the Food Service Management System. The position also provides direct supervision to assigned team members and is responsible for scheduling, training, performance management, timekeeping, and administrative compliance.

Responsibilities

Supervise administrative staff, providing guidance, training, and performance feedback to foster a high-performing team.
Oversee operations including filing systems, cashier, coordinate, and compile daily meal entitlements, which have been entered by cashiers into the Enabler card terminals located at each serving line.
Handle human resources functions including payroll processing, employee onboarding, record keeping, and confidential information handling.
Maintain accurate bookkeeping records, assist with budgeting processes, and support accounting tasks using spreadsheets and accounting software.
Ensure excellent customer service by addressing client inquiries professionally and maintaining effective communication across departments.
Proven experience in office management or administrative supervision with strong leadership capabilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for data analysis and reporting.
Excellent organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
Strong communication skills—both verbal and written—to effectively liaise with clients, vendors, team members, and senior management.
Knowledge of human resources practices including employee training & development and payroll administration.
Ability to supervise teams effectively while fostering a collaborative work environment.
Technical proficiency in office equipment such as multi-line phones, printers, and office software applications.
Monitor, coordinate, verify, and compile daily meal entitlements entered by cashiers into Enabler card terminals located at each serving line.
Research, document, and report discrepancies involving meal counts, cash collections, meal entitlements, or supporting records.
Ensure required meal accountability data is accurately entered, uploaded, or downloaded into the Food Service Management System.
Maintain, compile, reconcile, and verify all required food service accounting reports and associated documentation.
Ensure food service accounting records are completed, organized, filed, and retained in accordance with the NAVSUP P-486, contractual requirements, and applicable record-retention procedures.
Review documentation for accuracy, completeness, required signatures, dates, authorization, and supporting attachments before records are finalized.
Coordinate with cashiers, record keepers, supervisors, Government representatives, and management to resolve administrative or meal accountability discrepancies.
