We specialize in high-quality kitchen, bathroom, basement, and whole-home renovations — projects that range from $30,000 to well over $200,000 — and we take pride in delivering craftsmanship, clear communication, and a process clients actually enjoy.

We’re a growing company at an exciting inflection point. Our owners are stepping back from day-to-day field operations to focus on sales, business development, and growth — and we’re building the team infrastructure to match our ambitions. That’s where you come in.

The Opportunity

We're looking for an Administrative Assistant who keeps our office running the way we run our jobsites: organized, on schedule, and without loose ends. This is a role for someone who genuinely enjoys the details — someone who can juggle calendars, client communication, paperwork, and project files without dropping the ball, and who takes pride in being the reliable hub the rest of the team counts on.

You'll work closely with ownership, our Project Managers, and our estimating team, supporting the administrative backbone of the business — from scheduling and correspondence to maintaining accurate records inside JobTread. This is an in-office, detail-driven role, not a field role.

What You'll Do

Serve as a first point of contact for incoming calls, emails, and client inquiries, routing them to the right team member.
Support scheduling for ownership, Project Managers, and client meetings, keeping calendars accurate and conflict-free.
Maintain and organize project files, contracts, change orders, and documentation inside JobTread.
Assist with preparing proposals, estimates, and client-facing documents alongside the estimating and sales team.
Track and follow up on outstanding paperwork — signed contracts, change orders, permits, and selections — to keep projects moving.
Coordinate with subcontractors and suppliers on basic scheduling, documentation, and follow-up requests.
Support accounts payable/receivable tasks such as processing invoices, tracking payments, and organizing receipts.
Assist with day-to-day office operations, including ordering supplies, managing mail, and keeping shared systems organized.
Help coordinate marketing and outreach logistics, such as event materials, mailers, or social media scheduling, as needed.
Support onboarding paperwork and documentation for new hires and subcontractors.
Assist with data entry and reporting to help ownership track project and business performance.
Help build, document, and maintain administrative SOPs as the company continues to grow.

What You Bring

Prior experience in an administrative, office coordinator, or executive assistant role — construction or home services industry experience a plus.
Strong organizational skills with the ability to manage multiple priorities and deadlines at once.
Excellent written and verbal communication skills, with a professional and friendly client-facing manner.
Comfortable learning and working inside project management software (JobTread experience a plus, not required).
Proficiency with standard office software (Microsoft Office / Google Workspace).
High attention to detail and follow-through — things don't fall through the cracks on your watch.
Ability to handle sensitive client and business information with discretion.
A proactive, self-starter mindset — you look for what needs doing, not just what's assigned.
Comfortable working in a small-team environment where responsibilities can shift day to day.

Bonus Points If You Have…

Experience in residential construction, remodeling, or a related trade industry.
Familiarity with bookkeeping basics or experience supporting accounts payable/receivable.
Spanish language skills (preferred — helpful for trade partner communication).
Experience helping build or improve office systems and processes at a small, growing company.
