Job Summary

Milwaukee Public Schools is actively recruiting for a highly qualified candidate to serve as the Project Manager for the Superintendent of Schools and to manage the day-to-day operations of the Superintendent¿s Office. ; ;

;

Salary Range: $90,000 - 100,000 (260 days)

Responsibilities

Serves as the initial point of contact for the Superintendent¿s office.
Assists with managing the Superintendent¿s calendar; coordinating complex executive meetings; interacting with internal and external executives and assistants; completing research as assigned; preparing necessary background materials for scheduled meetings, events; and assisting with other tasks to ensure effective and efficient office operations.
Assists with the preparation of presentation materials, including but not limited to PowerPoint presentations and speeches by composing, formatting, inputting, and editing text, data, and graphics. Reviews and summarizes documents and prepares background materials and other supporting information.
Reads, researches and responds to constituent requests; drafts letters and documents and collects and analyzes information, providing assistance to the Superintendent, the Chief of Staff and members of the Superintendent¿s Cabinet. ;
Coordinates meeting details including travel, reservations, transportation, and food service as needed for events hosted or attended by the Superintendent. ;
Assists parents and other public and community members who come to the Superintendent¿s Office by responding to information about district policies and procedures and following up on inquiries and complaints which are often of a sensitive nature.
Writes memos and letters for the Superintendent¿s signature, including letters of regret to invitations, letters of appreciation, and other general correspondence. ; Edits and proofreads letters prepared by district staff for the Superintendent¿s signature to ensure high level quality and consistency required by the superintendent¿s office.
Answers, screens and responds to telephone calls from a wide variety of constituents, including parents, district staff, School Board members, citizens, community and business leaders and governmental officials.
Maintains various budget accounts for the Superintendent¿s Office.
Reviews the Superintendent¿s incoming mail to ensure timely and appropriate handling and delegates items to department staff as necessary.
Plans, coordinates, and manages projects from initiation through completion, including defining scope, establishing timelines, allocating resources, monitoring progress, managing schedules and risks, and ensuring projects are delivered on time, within scope, and within budget. Facilitates cross-functional collaboration, stakeholder engagement, accountability for deliverables, and effective communication to support successful project outcomes.
Actively supports the MPS Strategic Plan.
Supports the Superintendent at school-based and external events, as needed.
Performs other duties as assigned.

Qualifications

A bachelor¿s degree in business administration, public administration, project management.
Five or more years of experience providing high-level executive administrative support in a large organization, including executive-level project management, planning, and coordination.
Prior public sector experience preferred.

A combination of education and experience will be considered.
