Job Summary

We are seeking a dynamic and detail-oriented Accounts Payable and Payroll Specialist to join our finance team. In this role, you will be responsible for managing the company’s accounts payable processes, ensuring timely and accurate invoice processing, and overseeing payroll administration. Your expertise will help maintain financial accuracy, compliance with regulatory standards, and streamline financial operations. This position offers an exciting opportunity to contribute to a growing organization by ensuring financial integrity and supporting employee compensation processes with precision and professionalism.

Responsibilities

Process and verify invoices using various financial software such as QuickBooks, Sage, or Workday, ensuring accuracy and compliance with GAAP (Generally Accepted Accounting Principles).
Manage accounts payable automation systems to optimize invoice processing efficiency and reduce manual data entry errors.
Reconcile accounts payable transactions regularly, ensuring all debits and credits are correctly recorded in the general ledger.
Administer payroll functions using systems like ADP, Kronos, UltiPro, Ceridian, or Paychex, including data entry, benefit deductions, tax calculations, and compliance reporting.
Perform account reconciliations for payroll and accounts payable accounts to ensure data integrity across multiple accounting systems.
Maintain confidentiality of sensitive employee information while handling payroll data and financial records with integrity.
Assist in month-end closing activities by preparing journal entries related to payroll expenses and accounts payable accruals.
Support compliance with SOX (Sarbanes-Oxley Act) controls by documenting processes and maintaining audit-ready records.
Collaborate with HRIS systems like Workday or PeopleSoft to ensure accurate employee data management for payroll purposes.
Conduct analysis of Excel spreadsheets using formulas such as VLOOKUP and advanced functions for data analysis related to accounts payable and payroll reports.

Skills

Strong understanding of accounting principles including GAAP, double-entry bookkeeping, and general ledger reconciliation.
Proficiency in financial software such as QuickBooks, Sage, Workday, ADP, Ceridian, Kronos, UltiPro, or similar platforms.
Experience with accounts payable automation tools and invoice processing workflows.
Knowledge of payroll management systems including Paychex, ADP, Kronos or equivalent HRIS platforms.
Familiarity with governmental accounting standards and tax regulations related to payroll and accounts payable.
Excellent analytical skills with the ability to interpret complex data using Excel formulas like VLOOKUP and pivot tables.
Ability to handle confidential information discreetly while maintaining high accuracy in data entry tasks.
Strong organizational skills with attention to detail in account reconciliation, journal entries, and financial reporting.
Effective communication skills for collaborating across departments including finance, HR, and external vendors.
