Overview

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a professional and lively work environment.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming correspondence, including emails and mail, with accuracy and timeliness
Maintain organized filing systems and update spreadsheets for record-keeping purposes
Assist with data entry tasks using productivity software such as Microsoft Office, Word processing, and spreadsheets
Support office management activities including calendar management, appointment scheduling, and basic administrative support
Perform clerical duties such as proofreading documents, filing paperwork, and managing office supplies to ensure operational efficiency

Experience

Prior office experience or administrative support roles demonstrating strong organizational skills and professionalism
Proficiency in computer literacy with knowledge of Microsoft Office Suite (Word, Excel) and data entry skills
Experience with multi-line phone systems and excellent phone communication skills
Bilingual abilities are highly desirable to assist diverse client needs effectively
Familiarity with QuickBooks or similar accounting software is a plus but not required
Demonstrated ability to handle customer service interactions with patience and positivity
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
