Full Job Description

Chiropractic Office Manager & Billing SpecialistExperienced Chiropractic Professional — 3–5+ Years Required

We are looking for someone who knows chiropractic — not someone we have to train from the ground up.

We are seeking a highly experienced, confident, organized, and motivated Chiropractic Office Manager & Billing Specialist to take ownership of our front office and in-house billing department.

This is a hands-on management position for someone who understands the day-to-day operations of a busy, multi-disciplinary chiropractic office and knows how to identify problems, fix them, delegate appropriately, hold staff accountable, and keep the entire front office running efficiently.

This position requires a minimum of 3–5 years of chiropractic office experience.

Experience must include chiropractic office management and in-house medical/chiropractic billing. Candidates without substantial chiropractic experience will not be considered.

What We Are Looking For

We need someone who can walk into our office and take ownership of the front desk, billing, insurance, scheduling, staff, and daily operations.

You should be someone who:

Has 3–5+ years of experience working in a chiropractic office
Has previous management or leadership experience in a chiropractic clinic
Has extensive experience with in-house chiropractic billing
Is highly experienced with EZBIZ software
Has experience with Infinidi and/or Availity clearinghouse
Has experience working with Optum
Understands prior authorizations and insurance requirements
Has extensive knowledge of chiropractic insurance billing and reimbursement
Knows how to correct, resubmit, and resolve messed-up insurance claims
Can investigate why a claim denied and determine what needs to be corrected
Understands insurance eligibility, benefits, authorizations, claims, denials, EOBs/ERAs, and payment posting
Can identify billing errors before they become larger problems
Can audit patient accounts and claims for accuracy
Can audit services to ensure they were properly documented and properly billed
Understands the relationship between documentation, services performed, coding, and billing
Has experience scheduling patients in a busy chiropractic environment
Has experience working in a multi-disciplinary clinic
Understands scheduling and workflow for chiropractic, acupuncture, massage, decompression, and other services
Can manage multiple providers and multiple types of appointments
Has experience supervising and managing front-office employees
Can hold employees accountable for completing their responsibilities
Can identify what needs to be done without waiting to be told
Knows how to delegate the right task to the right person
Can prioritize when the office gets busy
Is comfortable taking charge and making decisions
Is organized, detail-oriented, and extremely dependable
Has strong communication and problem-solving skills
Is confident dealing with insurance companies and difficult billing situations
Takes ownership rather than saying, “That's not my job.”

You Will Be Responsible ForOffice Management

Oversee the daily operation of the front office
Manage and supervise front-desk staff
Establish expectations and hold employees accountable
Make sure employees are completing their assigned responsibilities
Identify workflow problems and correct them
Delegate responsibilities appropriately
Keep the front office organized, efficient, and professional
Ensure patients are being taken care of properly from check-in through checkout
Monitor scheduling and appointment flow
Identify what needs to be done and make sure it gets done

Billing & Insurance

Perform and oversee in-house chiropractic billing
Submit and manage insurance claims
Work insurance denials and rejected claims
Correct and resubmit claims when necessary
Troubleshoot complicated or incorrectly billed claims
Follow up on unpaid and outstanding claims
Review EOBs/ERAs and payments
Identify underpayments, billing errors, and missed revenue
Verify that services were billed correctly
Audit patient accounts for accuracy
Monitor outstanding insurance balances
Ensure claims are being submitted accurately and timely
Work with clearinghouses including Infinidi and/or Availity
Work within EZBIZ
Handle Optum requirements and prior authorizations
Stay current with insurance requirements and payer-specific rules

Clinical Service & Documentation Auditing

You will be expected to understand the services our providers perform and ensure they are being properly documented and billed.

This includes reviewing services such as:

Chiropractic adjustments
Chiropractic therapies
Acupuncture
Massage therapy
Decompression
Other supportive/rehabilitative services

You should be able to identify when something is missing, incorrectly documented, incorrectly coded, or incorrectly billed and know what needs to be done to correct the problem.

Hours: MWF 7am-6pm with an hour lunch (unpaid) and TTH 7am-noon

The Person We Want

We are looking for someone who will treat the front office as their responsibility and their baby.

We don't want someone who sits behind the desk and waits to be told what to do.

We want someone who walks through the office and thinks:

“What needs to be done?”

Then they make sure it gets done.

You should be able to see a problem before someone brings it to your attention, determine the best solution, delegate when appropriate, and follow through to make sure the job is completed.

You will be expected to lead the front office, not simply work in it.

This is NOT an entry-level position.

If you do not have substantial chiropractic office experience, chiropractic billing experience, and previous management/leadership experience, this position is not the right fit.

We need someone who can come in, understand our systems, identify what needs improvement, and hit the ground running.

If you are an experienced chiropractic office manager/billing specialist who knows insurance, knows billing, knows how to manage people, and knows how to run a busy multi-disciplinary chiropractic office, we want to hear from you.

Pay: $25.00 - $31.00 per hour
