Full Job Description

This Is Not an Entry-Level Position

We are looking for an experienced Office Assistant / Scheduler who has already worked in a construction, restoration, remodeling, roofing, exterior services, or home services company.

If you've never scheduled crews, managed routes, coordinated jobs, worked inside a CRM, handled customer communications, and kept technicians productive, this position is not for you.

We are in the middle of our busy season and need someone who can onboard quickly, take ownership, and contribute immediately.

Minimum requirement: 4+ years of experience performing scheduling and office coordination in a home service, construction, restoration, remodeling, roofing, or trade-related company.

This requirement is non-negotiable.

What You'll Be Responsible For

Scheduling & Dispatching

- Scheduling inspections, estimates, installations, cleaning services, and construction projects

- Building efficient daily routes and schedules

- Maximizing technician productivity and windshield time

- Coordinating crews, subcontractors, and material deliveries

- Adjusting schedules as weather, customer needs, and production demands change

Customer Communication

- Calling customers to schedule work

- Following up on estimates

- Following up on unpaid invoices

- Reaching out to existing customers after storms regarding inspections or service opportunities

- Confirming appointments and managing customer expectations

- Handling inbound and outbound customer communication

Administrative Support

- Pulling permits or coordinating permit requirements

- Ordering and scheduling material deliveries

- Creating and sending estimates

- Maintaining customer records within the CRM

- Supporting the General Manager with administrative and operational tasks

- Maintaining organized digital files and documentation

Communication Standards

We are a phone-first company.

If a customer needs something, we pick up the phone.

If someone doesn't answer, then we leave a voicemail, send a text, and follow up with an email.

We do not hide behind email.

If you're uncomfortable making outbound calls, following up consistently, or having direct conversations with customers, this position will not be a good fit.

Required Skills

- Proven experience scheduling crews and routing jobs efficiently

- Strong understanding of service area logistics and route planning

- Experience working inside a CRM system

- Strong customer communication skills

- Ability to prioritize without constant supervision

- High level of organization and follow-through

- Excellent phone skills

- Ability to manage multiple moving pieces simultaneously

Compensation will be based on experience and proven industry background.
