Full Job Description

Position Overview

The Audio Video Procurement & Project Coordinator is responsible for initiating and maintaining the operational backbone of AVSi projects through accurate order entry, new project creation, and end‑to‑end procurement management. This role ensures all materials, equipment, and vendor resources flow correctly into AVSi systems, enabling Project Managers and Field Teams to execute efficiently.

This role manages all purchasing activity, oversees material logistics, and maintains product catalogs across two internal systems to ensure pricing, availability, and product data remain accurate and up to date. This position requires exceptional organization, attention to detail, and the ability to keep multiple workflows moving in a fast‑paced integration environment.

Key Responsibilities

Purchasing & Procurement

· Vendor sourcing — Identify, evaluate, and maintain relationships with AV manufacturers and distributors.

· Purchase order management — Create, track, and reconcile POs; ensure accuracy of pricing, lead times, and fulfillment.

· Catalog maintenance — Maintain and update product catalogs across two AVSi systems, ensuring correct SKUs, pricing, and availability.

· Cost control — Support budgeting by validating quotes, negotiating pricing, and preventing unnecessary spend.

Order Entry & Project Setup

· Order entry — Enter all equipment, materials, and procurement data into AVSi systems with accuracy and consistency.

· New project creation — Create new projects in AVSi systems, ensuring correct customer data, scope, and procurement alignment.

· System accuracy — Maintain clean, accurate records across all purchasing and project setup workflows.

Project Coordination

· Scheduling support — Assist Project Managers with timelines, material readiness, and procurement‑related milestones.

· Cross‑team communication — Serve as a central point of contact between PMs, Engineering, Field Techs, and vendors.

· Logistics planning — Coordinate shipments, deliveries, staging, and jobsite readiness.

Operational Support

· Staging preparation — Ensure equipment is received, labeled, checked in, and ready for Engineering or Field teams.

· Quality assurance — Verify equipment accuracy against BOMs and project requirements.

· Process improvement — Identify workflow gaps and recommend enhancements to purchasing and project processes.

· On‑call rotation — Participate in AVSi’s structured on‑call program as needed for procurement or logistics escalations.

Required Qualifications

· 2+ years experience in purchasing, order entry, project coordination, logistics, or operations (AV industry preferred).

· Strong understanding of professional AV equipment, manufacturers, and distribution channels.

· High proficiency with project management tools, spreadsheets, and procurement workflows.

· Excellent communication skills with the ability to coordinate across multiple teams.

· Strong attention to detail and ability to manage competing priorities.

· Ability to lift up to 50 lbs and assist with staging or warehouse tasks when needed.

Preferred Qualifications

· Experience with AV integration, construction trades, or technical project environments.

· Familiarity with BOMs, procurement workflows, and AV system components.

· Experience negotiating pricing or managing vendor relationships.

· Understanding of shipping logistics, freight coordination, and RMA processes.

· Projects are created accurately and consistently in AVSi systems.

· Procurement flows smoothly with correct materials ordered on time and within budget.

· Product catalogs remain clean, current, and reliable across both systems.

· PMs and Field Teams experience fewer delays due to material or system setup issues.

· The coordinator becomes a reliable operational hub that keeps purchasing and project setup aligned.

Work Environment
This role is performed in a standard [office/hybrid/warehouse/remote] environment with routine use of computers and standard office equipment.
