Pet Haven has been growing dramatically and is seeking an animal-loving, mission-focused, strategic, and process-minded person to create efficient, effective systems that increase productivity and improve the experience for felines and people in our Cat Division.
At Pet Haven, we prioritize high standards of care for our felines and professional support for our cat division volunteers and adopters. We are looking for a new team member who loves cats and will support our Cat Division Manager and the division's needs.
Job Duties:
The Cat Division Support Coordinator will help to drive continuous Improvement in the Cat Division. This person will be expected to be feline focused, continually evaluate needs and improvements, clearly understand them, what is needed, and make adjustments to help have:
- The best care for our felines
- High-level communication for fosters
- Continuously improving foster and feline experience
- Responsible for Cat Care at our facility
- Oversee and prepare for larger feline intake events
- Ensuring feline housing is set up to standards and cats are well cared for
- Daily health and behavior evaluation of facility felines, notifying the vet team of any health issues
- Training of cat care volunteers for consistency, scheduling care, support, covering open shifts as needed
- Monitor and document Feline intake and movement into and out of our Facility
- Tracking vetting what has been done/what needs to be done
- Taking profile pictures for high-quality photos to post for foster placement and adoption profile use
- Providing descriptions of accurate personality traits for each cat
- Sending Intake Coordinator notifications when they leave HQ
- Cat Foster Mentor support
- Triage support -crisis control, behavior support, fielding questions
- Foster Onboarding support - Help drive continuous improvement in the foster onboarding process:
- Working with the vet team to ensure the Kitten/Queen Manual is up to date
- Working with the vet team to ensure the Cat Manual is up to date.
- Create new documents to drive continuous improvement within the onboarding process
- Create reports for onboarding:
- How many foster apps are being received month over month, year over year
- Understand current trends
- Sharing data with leadership to review each month, such as:
- How many follow through with fostering after being onboarded, and how many do not
- How many fosters continue fostering after taking their first cat, and how many do not, so we can work on driving that number north:
Understanding what is needed to recapture inactive fosters - what can we do to get them fostering again, i.e., training, accolades, more resources
- Cat Team check-ins for Cat Division Manager - adoption team, owner surrender, feline intake
- Attend Mentor Meetings
- Listen to what mentors are saying - this is critical to drive continuous improvement
- Run weekly Animal Shelter Manager reports and pull data within the Cat Division:
- Cats in care for over XX days
- What fosters are open/what fosters are not:
- Open fosters
- Those who have animals
- Those who do not have animals
- Queen fosters
- Kitten fosters
- Frequent email communication with fosters to determine:
- Have you moved? If so, what’s your new address?
- Create an effective database for stronger management of felines and fosters
- Shy
- Medical
- Outgoing and easy
- Kittens
- Pregnant moms
- How many resident animals do you have in your home/has it changed since Foster was first onboarded
- Are fosters interested in fostering kittens
- If the Foster has not fostered for a while, find out why and try to recapture them
Competencies, Knowledge, and Skills
- Operational/administrative skills in a customer-facing industry required; Two years of experience working or volunteering with an animal welfare organization is preferred.
- Public-facing customer service skills and strong communication skills.
- Passion for working collaboratively with others to develop solutions and approaches for policies, processes, and customer service.
- A basic understanding of common veterinary and behavioral care for cats with an interest in learning more.
- Strong computer skills and experience using Microsoft Office Suite to produce professional documentation; additional experience using Google for Nonprofits preferred and Google Docs.
- Strong professional and compassionate written communication skills.
- Strong self-awareness and emotional intelligence, able to balance decision-making with diplomacy.
- Comfortable working in the animal welfare arena and the ability to recognize and support compassion fatigue in yourself and others.
- This is a hybrid position with on-site work and one remote workday that requires a computer, a printer, and a cell phone. Pet Hven will supply a laptop and a stipend for a phone. Candidates must have a flexible schedule and availability. Occasional weekend and evening hours will be a part of this position.

4 office days- floating and planned around when we need help with intake of cats- one off-site admin day

Pay: $40,000.00 - $50,000.00 per year
