Administrative Assistant – Broadway Circle of Minot, ND

Location: Minot, ND
Job Type: Full-Time
Reports to: Lead Co-Executive Director

About Broadway Circle

Broadway Circle of Minot is a family-centered supportive housing community that provides safety, stability, and opportunity for individuals and families experiencing homelessness. We are seeking a dependable and compassionate Administrative Assistant to help ensure smooth daily operations and provide essential support to our residents and staff.

Position Summary

The Administrative Assistant supports the Broadway Circle team by managing administrative and clerical duties that keep the shelter and housing programs running efficiently. This position serves as the first point of contact for residents, staff, and community partners, providing professional, respectful communication and maintaining a welcoming office environment.

Key Responsibilities

Serve as the main point of contact for residents, visitors, and community partners.
Answer phone calls, emails, and in-person inquiries with professionalism and empathy.
Maintain organized filing systems for resident, facility, and administrative records.
Assist with resident intake documentation and data entry into program systems.
Prepare correspondence, reports, and meeting materials.
Schedule appointments, coordinate meetings, and manage calendars.
Track and process invoices, receipts, and purchase orders.
Maintain accurate records for donations, in-kind contributions, and reports.
Support communication between administrative, maintenance, and program teams.
Assist with coordination of community events, volunteer activities, and special projects.

Qualifications

High school diploma or equivalent required; Associate’s degree in Business Administration or related field preferred.
Minimum 2 years of administrative experience (nonprofit or housing environment preferred).
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Professional, dependable, and able to manage multiple priorities.
