Full Job Description

Overview

The Administrative Coordinator plays a vital role in ensuring the smooth daily operations, financial coordination, and professional environment of the Carolina Youth Coalition’s office and program space. Reporting directly to the Executive Director, this position supports organizational efficiency, manages administrative systems, coordinates logistics, and upholds a welcoming and safe environment for Fellows, families, staff, volunteers, and guests.

The Administrative Coordinator ensures that day-to-day functions across administration, finance, facilities, and guest management are executed with excellence, accuracy, and alignment with CYC’s mission.

Core Responsibilities

Administrative Operations & Executive Support

Provide high-level administrative support to the Executive Director and Board of Directors.
Manage the organizational calendar, schedule meetings, and coordinate preparation for internal and external engagements.
Support planning and logistics for board meetings, organization-wide events, and donor-related communications.
Maintain financial and program documentation, assist with invoice processing, and organize records for audits and reviews.
Track stakeholder information in the organization’s CRM (Neon) and ensure accurate digital recordkeeping.

Finance & Development Support

Manage billing and accounts receivable processes in coordination with the finance team.
Monitor and track incoming payments, reconcile donation records, and ensure timely documentation of receivables.
Assist with donor and grant reporting processes, including assembling financial reports and backup documentation.
Support the Development Director and Executive Director with administrative tasks related to fundraising, grant tracking, and compliance.

Facility Operations

Develop and manage systems to ensure a safe, clean, and orderly environment across CYC’s shared spaces.
Implement and uphold operational procedures that support safety and enable efficient program delivery.
Maintain the Youth Union’s organization and presentation, ensuring shared areas are tidy and functional.
Manage daily food service logistics, including orders, inventory, and distribution.
Coordinate with IT and vendors to address equipment, furniture, or facility issues in a timely manner.
Organize incoming and outgoing mail, packages, and correspondence.

Guest & Vendor Management

Serve as the first point of contact for all visitors and vendors, ensuring a professional and welcoming experience.
Maintain visitor logs and enforce safety and access protocols for all guests.
Schedule and coordinate services with vendors (e.g., cleaning, repairs, deliveries) and ensure fulfillment of service agreements.
Communicate effectively with outside providers to manage invoices, appointments, and facility needs.

Additional Responsibilities

Maintain inventory of office, kitchen, and program supplies and reorder as needed.
Assist with special events and staff-wide initiatives by managing logistics and vendor coordination.
Help maintain a professional, mission-aligned environment that reflects CYC’s values.
Support additional administrative or project-based tasks as assigned.

This role is based at CYC's East Campus (6035 Florence Ave, Charlotte, NC 28212).

Pay: $22.00 - $24.00 per hour
