Job Overview
We are seeking an experienced and highly organized Office Manager to oversee daily operations within our dynamic office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive background in office administration. This role involves managing administrative tasks, coordinating team activities, and ensuring smooth workflow across departments. The Office Manager will play a vital role in supporting company objectives through effective office management, vendor relations, and team supervision.

Duties

Oversee daily office operations, ensuring efficiency and productivity
Manage scheduling, calendar coordination, and appointment setting for staff and executives
Supervise administrative staff, providing training and development opportunities
Handle vendor management, including negotiating contracts and maintaining supplier relationships
Oversee bookkeeping, payroll processing, budgeting, and financial recordkeeping using QuickBooks or similar software
Coordinate event planning for company meetings, training sessions, and special events
Manage human resources functions such as onboarding new employees and maintaining personnel records
Supervise front desk operations including multi-line phone systems, phone etiquette, and visitor management
Maintain filing systems and ensure confidentiality of sensitive information
Support medical office management tasks if applicable, including patient scheduling and recordkeeping
Ensure compliance with company policies and procedures while fostering a professional work environment

Skills

Proven experience in office management or administrative roles with strong organizational skills
Supervising experience with the ability to lead and motivate teams effectively
Proficiency in QuickBooks, calendar management tools, and office software (MS Office Suite)
Excellent communication skills—both verbal and written—with professional phone etiquette
Strong event planning capabilities and vendor management skills
Knowledge of human resources processes including payroll administration and employee relations
Budgeting experience with the ability to manage expenses efficiently
Clerical experience with proficiency in filing systems and front desk operations
Ability to multitask effectively in a fast-paced environment while maintaining attention to detail
Experience in medical office management or healthcare settings is a plus but not required
Demonstrated ability to develop training programs and support team development initiatives
